Executive Assistant - Law Firm
Job Summary:
We are seeking a highly organized and professional Executive Assistant to join our dynamic law firm. With over 2,800 lawyers in 27 key business centers around the world, Freshfields offers unparalleled growth opportunities within our US practices. This position is responsible for providing administrative support to fee earners and assisting with client engagement, communication, team support, financial management, and business development. The ideal candidate will have a Bachelor's degree and 3-5 years of experience in the legal or professional services industry.
Key Responsibilities:
- Complex calendar management for fee earners, including arranging client visits/meetings and meeting deadlines
- Liaising with clients and their support assistants in a professional manner
- Acting as a point of contact for fee earners and obtaining key information
- Proactive diary management and coordination of meetings
- Document production, including preparing correspondence and proofreading for accuracy and presentation
- General administrative support, such as photocopying and scanning
- Effective and professional communication with colleagues and clients
- Initiation of daily communication with fee earners to ensure awareness of priorities and support needed
- Collaboration with team members and offering assistance when needed
- Flexibility to work outside of core hours to meet deadlines and complete tasks
- Adherence to the firm's risk and compliance guidelines, including tracking and uploading engagement letters/emails and completing time recording
- Assisting with the billing process and handling expense management for fee earners
- Maintaining knowledge of key clients and the firm's strategic objectives
- Understanding of knowledge and business development resources and practices
- Managing contacts and assisting with client development outreach
- Assisting with marketing efforts, such as producing pitches and maintaining up-to-date CVs
- Support for client events as needed
Key Requirements:
- Associates degree or Bachelor's degree
- 3-5 years of experience in the legal or professional services industry, including partner support
- Advanced technical skills and proficiency in Microsoft Office (Word, PowerPoint, Outlook, Excel)

Salary Information:
For individuals assigned or hired to work in New York and California, the salary range for this position is estimated to be between $75,000 and $125,000. This range takes into account factors such as skill sets, experience and training, licensure and certifications, and other business and organizational needs. The final compensation decision will depend on the specific circumstances and location of the position.
