Job Title: Operations Administrative Assistant

Job Responsibilities:
The Operations Administrative Assistant at the law firm is responsible for a variety of tasks that support the immigration department. Key duties include:

- Checking incoming mail and organizing it into each client file.
- Sorting all paperwork alphabetically and by content, dates, and significance.
- Creating or updating records with new files and information.
- Storing all paperwork in designated places, ensuring the security of important documents.
- Entering paperwork into an electronic system through data entry or using optical scanners.
- Handling all requests for file access and maintaining logs of borrowed papers.
- Developing an efficient filing system to facilitate easy updating and retrieval of files.
- Adhering to policies and confidentiality guidelines to safeguard data and information.
- Monitoring inventory of files, paper clips, and other office supplies, and reporting shortages.

Education and Experience Information:
- A high school degree or equivalent is required.
- The candidate should have knowledge of filing systems.
- Proficiency in MS Office and the use of office equipment such as photocopiers and scanners is necessary.
- Good command of both oral and written English and Spanish is required.
- The candidate must be dependable, with a strong respect for confidentiality and policies.
- Excellent organizational skills and great attention to detail are essential.

Salary Information:
- The salary range for the Operations Administrative Assistant position is to hourly.
