Job Title: Temporary Legal Assistant - Immigration
Job Responsibilities:
The Temporary Legal Assistant - Immigration at the law firm is responsible for a wide range of support activities for attorneys and paralegals within the Immigration department. The primary focus is on employment-based immigration, but the role also encompasses family-based, humanitarian immigration, as well as some litigation tasks. The assistant will handle administrative support for various immigration petitions and applications, including nonimmigrant categories, labor certifications, green card applications, naturalization applications, and audits, investigations, and litigation related to immigration. Key responsibilities include:
- Typing, proofreading, formatting, and editing correspondence and legal documents in accordance with Immigration Group Standard Operating Procedures and Naming Conventions.
- Managing mail and email, attaching relevant files and documents.
- Drafting basic immigration forms and letters and converting paper and electronic files to PDF format.
- Compiling, performing quality assurance review, finalizing, and filing immigration petitions, applications, and related documents with government agencies under time-sensitive deadlines.
- Scanning and saving immigration filings and related documents to INSZoom immigration software and document management systems.
- Accurately inputting data into the INSZoom immigration tracking database.
- Docketing and calendaring immigration deadlines in internal systems.
- Opening new client and matter files for single and joint representation clients.
- Updating client information and approval notices into INSZoom software.
- Preparing reports from the INSZoom database.
- Conducting research using firm tools and AI.
- Maintaining attorney and client files in both paper and electronic formats.
- Managing attorney email inbox, maintaining email and electronic files using NetDocs.
- Handling telephone communications with clients and business contacts.
- Scheduling and calendaring attorney appointments via phone, Zoom, and Teams.
- Coordinating schedules, meetings, maintaining calendars, setting up conference calls, and arranging food service.
- Making and tracking travel arrangements.
- Answering, screening, and responding to phone calls.
- Maintaining contact lists.
- Creating and maintaining Excel spreadsheets as directed.
- Reviewing and revising invoice proformas.
- Preparing and submitting expense/reimbursement reports.
- Maintaining and tracking continuing legal education (CLE) records for attorneys.
- Assisting fellow legal assistants and additional attorneys as needed.
- Performing other tasks as required.
Education and Experience Information:
Candidates for this position should possess the following qualifications:
- At least 2 years of experience in a law firm, with a minimum of 1 year in an Immigration legal department being strongly preferred.
- Strong word processing and computer skills, including the ability to type at least 75 words per minute with high accuracy.
- Proficiency in MS Office Products (Word, Outlook, Excel) and Kofax Power PDF is required. Some knowledge of PowerPoint, timekeeping programs, AccuRoute, NetDocs, and INSZoom is preferred.
- Strong communication skills, both verbal and written, with all levels of a professional services organization, including interpersonal skills. The ability to work in a team-oriented, service-focused environment and to handle stressful situations calmly and composedly is essential.
- High attention to detail and excellent grammar, proofreading, and organizational skills.
- Ability and willingness to learn new programs and program updates.
- Professional telephone communication skills.
- Ability to prioritize tasks and handle multiple demands from different people.
- Ability to understand and follow work instructions with minimal supervision.
- Ability to follow client confidentiality guidelines.
- Proficiency in reading and writing in English.
- A high school diploma or GED certification is required.
Salary Information:
The hourly range for the Temporary Legal Assistant - Immigration position in Washington is to . Actual pay will be adjusted based on the candidate’s education, training, experience, and other job-related factors permitted by law. Paid sick leave is accrued biweekly at a rate of 1 hour per 30 hours worked. Temporary employees working at least 30 hours per week may be eligible for health insurance with an optional Health Savings Account (HSA), dental insurance, vision care, telemedicine, and virtual short-term solution-based counseling services, as well as Healthcare and Dependent Care Flexible Spending Accounts, sick time, and an employee assistance program.
