Job Description

Position Summary:

The Billing Coordinator is tasked with the comprehensive responsibility of drafting and finalizing client invoices for a group of dedicated attorneys, ensuring that this process is conducted in a timely and accurate manner.

Working Relationships:

Reports to: Billing Supervisor
Supervises: N/A

Primary Duties and Responsibilities:

Prepare and distribute draft invoices in both paper and electronic forms to billing attorneys.
Proofread time entries throughout the month and make necessary corrections.
Revise draft invoices as requested by attorneys promptly and accurately.
Obtain authorizations for time and rate changes as necessary, adhering to policy guidelines.
Track the status and follow up in a timely manner on outstanding draft invoices.
Adhere to client billing instructions, including rates, invoice templates, and distribution methods to clients.
Identify and address client overpayments, ensuring timely processing of any refunds.
Provide excellent customer service in all internal and external dealings.
Assist with special projects and ad-hoc requests.
Knowledge, Skills, and Abilities Required:

Education:

High school diploma required; college or technical training preferred.

Work Experience:

At least one year of administrative and billing experience.
Working knowledge of Microsoft Office (Word, Excel, and Outlook); familiarity with Elite Enterprise or 3E software is a plus.
Demonstrated accuracy, attention to detail, and thoroughness in work product.
Ability to identify and resolve problems in a timely manner and skillfully gather and analyze information.
Possession of excellent oral and written communication skills.
Ability to adapt to changes in the work environment, manage competing demands, and deal with frequent changes, delays, or unexpected events.
Ability to work effectively as a member of the billing team.
Ability to maintain strict confidentiality regarding work performed.
Ability to work without supervision and know when to seek guidance and input.
Ability to maintain organization and a neat work environment.
Ability to prioritize work to handle multiple responsibilities and meet deadlines.
Consistent attendance and punctuality, following instructions, responding to management direction, and soliciting feedback to improve performance.
Preferred:

Legal billing experience.
Working knowledge of Elite/3E accounting software.
Two years of experience in an office environment.
Working Conditions:

Physical Effort: Sitting at a computer for long periods, some walking to other areas of the office, and using steps when necessary.
Work Environment: Office environment; some travel required; overtime when needed.
Job Status: Non-Exempt. Full time, hours per week.
