Job Title: Electronic Billing (E-Billing) Specialist
Job Responsibilities:
The Electronic Billing (E-Billing) Specialist at the law firm is tasked with a variety of responsibilities focused on managing and processing electronic invoices. The specialist is responsible for ensuring the timely and accurate submission of monthly invoices through various vendor sites. This includes maintaining monthly progress reports of submitted and rejected invoices and monitoring client/vendor system requirements. Key duties include:
- Submitting electronic invoices for assigned clients and ensuring compliance with client e-billing requirements.
- Uploading and submitting invoices using the eBillingHub and more than 50 vendor sites.
- Independently analyzing, troubleshooting, and resolving complex e-billing issues.
- Partnering with clients and attorneys to address rejected or pending invoices, following up until resolution.
- Establishing strong working relationships with clients, attorneys, and staff to communicate regularly on e-billing setups, issues, and questions.
- Creating and maintaining detailed electronic notes for each client, including client-specific and vendor-specific requirements.
- Creating and uploading client accrual spreadsheets as needed.
- Manually editing invoices as necessary to meet client submission requirements.
- Maintaining client vendor sites, reconciling firm and client information, and coordinating with the Rate Administrator and attorneys to update rates, budgets, or status reports.
- Implementing new e-billing clients and vendors, including mapping in the eBillingHub and setup in Aderant.
- Assisting with other accounting projects as needed.
Education and Experience Information:
The ideal candidate for the Electronic Billing Specialist position should have:
- Over 3 years of experience in an accounting department, with previous experience in a law firm or professional services organization supporting a multi-office environment strongly preferred.
- A college degree in Finance or Accounting is preferred.
- Advanced skills in Microsoft Excel and Microsoft Word.
- The ability to prioritize workload, multi-task, and work independently.
- A data-oriented mindset with a high degree of accuracy, attention to detail, and quality control.
- The ability to meet deadlines and handle stressful situations calmly and composedly.
- Excellent customer service and communication skills.
- Excellent time management and organizational skills.
- Demonstrated ability to learn new technologies quickly and independently.
- Knowledge of eBillingHub, BillBlast, Aderant, Elite 3E, or other similar software is preferred.
- The ability to establish and maintain professional relationships with clients and colleagues.
- The ability to work overtime as needed.
Salary Information:
The salary for the Electronic Billing Specialist varies depending on the location and is adjusted based on the candidate’s education, training, experience, and other job-related factors permitted by law. The compensation details for various locations are as follows:
- Washington State: The hourly range is $72,000 to $79,000 ( to hourly).
- California: In Los Angeles, the annualized salary range is $69,000 to $79,000 ( - hourly); in San Francisco, it is $77,000 to $88,000 ( - hourly).
- New York: The annualized salary range is $71,000 to $81,000 ( – hourly).
- District of Columbia: The annualized salary range is $73,000 to $82,000 ( - hourly).
