Job Title: Legal Administrative Assistant
Job Responsibilities:
- Act in a confidential capacity, maintaining discretion in all tasks and communications.
- Anticipate the needs of assigned team members, providing proactive support.
- Manage a variety of clerical responsibilities and projects under direct supervision, ensuring tasks are completed efficiently and accurately.
- Proofread documents, reviewing grammar and sentence structure to ensure professional quality.
- Prepare binders for attorneys, including pleadings binders and research notebooks, to support case preparation.
- Maintain case file information in the Litigation database, ensuring all records are up-to-date and accessible.
- Manage documents in an electronic document management system, organizing files for easy retrieval.
- Prepare correspondence to be sent to clients, courts, and other attorneys, and file basic court documents using traditional methods or via CM/ECF.
- Prepare basic form documents such as pro hac vice motions, court appearances, and court admissions paperwork.
- Prepare and coordinate travel itineraries for team members, ensuring all arrangements are efficient and cost-effective.
- Reconcile purchase card expenses and prepare vouchers to submit invoices for payment, maintaining accurate financial records.
- Maintain and manage administration needs, including office supplies and IT support, to ensure the smooth operation of the office.
- Fax, scan, copy, and collate legal documents and exhibits, ensuring all materials are prepared for legal proceedings.
- Prepare UPS/FedEx shipping labels, packages, and letters for document distribution.
- Create and edit presentations, correspondence, memos, reports, graphs, organizational charts, and faxes, ensuring professional presentation.
- Create, maintain, and organize hard-copy files, ensuring all documents are filed systematically.
- Manage Outlook calendar for assigned attorneys, scheduling appointments and meetings.
- Coordinate meetings, events, and office lunches, facilitating smooth operations and team collaboration.
- Assist with special projects as needed, providing support to ensure project objectives are met.
- Serve as backup for other assistants, providing coverage and support as needed.
Education and Experience Information:
- Minimum of 1+ years of legal administrative experience is required, ensuring familiarity with legal processes and administrative tasks.
