Job Responsibilities:
The Legal Administrative Assistant plays a crucial role in ensuring the smooth operation of the law firm, which specializes in estate planning, probate, and estate administration. The responsibilities of the Legal Administrative Assistant include:
- Answering and directing phone calls with professionalism and courtesy to ensure effective communication.
- Managing and maintaining a busy calendar for the attorney using Microsoft Outlook, ensuring appointments and deadlines are efficiently organized.
- Preparing and sending mail, as well as handling client correspondence to facilitate communication between the firm and its clients.
- Assisting with case management and document organization to support the attorney in managing legal cases effectively.
- Filing legal documents with local courts via e-Filing, ensuring timely and accurate submission of necessary paperwork.
- Performing light bookkeeping tasks using QuickBooks to assist with the financial management of the firm.
- Providing front desk coverage and greeting clients in person or by phone, ensuring a welcoming and professional environment.
- Maintaining confidentiality and a high level of attention to detail to protect client information and ensure accuracy in all tasks.
Education and Experience Information:
The position requires the following qualifications:
- A high school diploma or GED is required, serving as the basic educational qualification.
- Previous experience as front desk or reception personnel is preferred, providing an advantage in handling administrative tasks.
- Experience in a legal setting is considered a plus, offering familiarity with legal processes and terminology.
- Familiarity with Microsoft Outlook and QuickBooks is helpful, enabling the assistant to perform tasks efficiently using these tools.
