Job Title: Billing Team Lead
Job Responsibilities:
- Oversee the billing staff for an assigned region/team, providing leadership and direction to ensure compliance with the firm's policies and procedures.
- Coordinate workflow and monitor performance, identifying opportunities for process improvements and assisting in implementing new protocols to support the firm's strategic plan.
- Assist the Senior Billing Manager in managing day-to-day billing activities, including assigning work responsibilities, ensuring quality and timely work products, resolving problems, and assessing work performance.
- Provide mentoring, training, and ongoing feedback to billing staff, managing and balancing workloads, overseeing schedules and overtime, and contributing to annual performance evaluations.
- Ensure compliance with firm and department policies, addressing or resolving identified issues and escalating them when necessary.
- Communicate deadlines for the month-end close process and create new prebills for the next month’s billing cycle.
- Handle direct billing responsibilities approximately 25% of the time, especially in complex cases or to support firm strategic initiatives.
- Oversee and manage billing overflow to ensure smooth operations, maintaining involvement and oversight of team members’ workloads to ensure timely and accurate bill issuance.
- Develop billing staff by enabling them to establish strong working relationships with assigned billing attorneys, taking ownership of assigned billing tasks, and becoming the primary point of contact for billing attorneys and legal secretaries.
- Support proper e-billing protocol, working alongside the E-Billing Specialist to ensure all e-billed clients are billed timely and accurately, adhering to firm and client standards.
- Serve as a point of contact for escalated billing inquiries from attorneys and administrative staff, ensuring prompt and appropriate action on requests.
- Liaise with and support finance functions outside of the Billing department as needed.
- Assist with developing and maintaining department training and resource materials.
- Drive performance excellence through effective communication, performance management, and employee recognition, identifying opportunities for employee growth and goal achievement.
- Promote a positive, energetic culture emphasizing teamwork, collaboration, and excellence.
- Serve as a positive role model, exemplifying firm and department standards in daily operations.
- Perform additional duties and responsibilities as assigned by the Senior Billing Manager.
Education and Experience:
- Bachelor's degree strongly preferred.
- 4 to 6 years of related experience required.
- Supervising experience required.
- Knowledge of accounting concepts required.
- Experience with Aderant Expert Billing and BillBlast e-billing software preferred.
- Ability to calculate figures and amounts such as discounts, percentages, and billing rates.
- Strong experience with Microsoft Office, including Word and Excel.
- Exceptional organizational, problem-solving, and analytical skills required.
- High standards, excellent attention to detail, effective communicator, ownership mentality, and exceptional follow-through skills.
- Strong communication and interpersonal skills required to interact and build positive relationships with staff, attorneys, and clients.
- Ability to multi-task and adapt to changing priorities and work demands.
