Job Title: New Business Intake Analyst
Job Responsibilities:
The New Business Intake Analyst plays a vital role in the Conflicts Department, specifically within the New Business Intake Department at a prestigious law firm. This position involves working in a dynamic and fast-paced environment that provides an introduction to risk management. The Analyst is responsible for processing client intake requests for opening matters, managing daily workflow for new or existing clients, and ensuring that all tasks are completed in a timely and efficient manner. Key responsibilities include:
- Processing client requests for matter opening, add party requests, and client name change reviews
- Ensuring accurate review of intake forms to verify all required documents are attached, such as draft engagement letters, waiver letters, and litigation budgets
- Cross-checking the engagement letter with the intake form to ensure all parties have been run through the conflicts system
- Verifying all fields of the intake form are complete and filled out properly without misspellings or errors
- Entering information into the firm’s Conflicts Database, which then filters into other department systems
- Obtaining a thorough understanding of each process related to all steps in the intake process
- Conducting data entry reviews as part of the matter opening process
- Creating intake forms as part of the name change process for existing clients and conflict-related searches
- Reviewing and following up on all outstanding requests in the intake queue
- Verifying all required approvals have been received on the new business intake form before opening the matter
- Ensuring all new business intake forms are processed accurately and efficiently
- Overseeing the onboarding process, client transfers, and matter openings for lateral attorneys
- Responding to calls and emails from attorneys and legal administrative assistants regarding the status of new business intake forms
- Performing other duties as assigned
Education and Experience Information:
The ideal candidate for the New Business Intake Analyst position should possess the following qualifications:
- A high school diploma or GED is required, with 2 to 3 years of related work experience preferred
- An associate or bachelor’s degree is preferred
- Experience in a law firm is a plus, particularly in Conflicts and/or Records Management, and experience interacting with law firm employees is beneficial
- Ability to work well under pressure and meet tight deadlines
- Proficient typing skills with a minimum of 45 words per minute
- Proficient computer skills, including Microsoft Office (Word, Excel, Outlook, and PowerPoint)
- Experience using office equipment such as fax machines, phones, and copiers
- Ability to work outside of regular business hours when necessary
- Excellent oral and written communication skills
- Ability to work independently or as part of a team
- Willingness to take on new tasks and responsibilities within the department
