Job Title: HR Technology Coordinator
Job Responsibilities:
The HR Technology Coordinator is a vital role within the HR Technology team at the law firm, focusing heavily on technology to provide high-level coordination, logistical, and administrative support. Key responsibilities include:
- Calendaring & Scheduling: Managing complex calendars and meeting logistics for the HR Technology team using advanced Outlook and Teams features to optimize efficiency and collaboration. Utilizing custom tech meeting tools and settings for optimal virtual and in-person meeting experiences.
- Logistics & Workflow Coordination: Serving as the central point of contact for group emails, technology requests, and workflow management, ensuring timely and accurate responses and follow-up. Completing workflows and inquiries for new People & Culture distribution lists, group emails, Teams channels, and other technology-based requests.
- Community & System Support Maintenance: Updating and maintaining the UKG Community, Cornerstone Community, and other system support sites for administrators and end-users, ensuring access to current resources and information.
- Vendor & Budget Support: Maintaining and regularly updating technology vendor contact lists. Supporting invoicing and budget tracking for the HR Technology team.
- Team Engagement & Culture: Coordinating team travel, hotel, meal, and office reservations. Planning and executing team celebrations, recognition, and shout-outs for milestones and accomplishments.
- Information & Resource Management: Taking detailed notes and meeting minutes, utilizing AI tools for consistent information gathering and storage. Maintaining and archiving shared folders and resources. Creating resources and guides based on meeting notes and recordings for use by the HR Technology team.
- Training & Support: Assisting in delivering training to end-users and team members on HR technology systems and tools. Providing technical support and redirect/resourcing of inquiries as needed.
- Email & Communication Management: Supporting the Senior Manager – HR Technology with advanced email management, using Outlook tools to proactively organize, prioritize, and streamline communications.
- Continuous Improvement: Identifying and implementing process improvements using technology to enhance team operations and end-user experience.
Education and Experience Information:
- A high school diploma is required; a two-year college degree is preferred or commensurate professional and education experience.
- A minimum of 3 years of experience in a coordinator or advanced administrative support role, preferably within HR, technology, or a related field.
- Experience in organizations with 1,500+ employees or partnership-based companies is preferred.
- Proficiency in Microsoft 365 tools, including Teams, SharePoint, and Outlook, with a demonstrated ability to utilize advanced features and settings.
- Experience with HR technology platforms such as UKG and Cornerstone is strongly preferred.
- Comfort with AI tools, data analytics, and emerging technologies.
- Exceptional organization, multitasking, and communication skills.
- Strong problem-solving abilities and adaptability.
- Ability to work autonomously and manage multiple tasks effectively.
- Demonstrated ability to bridge technology and people needs, translating user requirements into technical solutions.
- High level of accountability, professionalism, and discretion in handling sensitive and confidential information.
