Job Responsibilities
- Responsible for talking with new and potential clients to assess their needs, empathize with them regarding the details of their situation, manage their onboarding with the firm, and help them solve problems.
- Serve as the lead and first point of contact for prospective clients and contribute to their first impression of the firm.
- Prioritize, work well under pressure, and switch between tasks quickly.
- Serve as a positive brand ambassador and drive the conversion of potential clients.
- Feel comfortable speaking on the phone and using technology, as much of the time is spent in the case management system (CMS) and other software.
- Identify needs and expedite resolutions quickly and efficiently.
- Manage high call volume from potential new clients, partners, providers, etc.
- Interview potential clients on the phone, move through a series of questions, and record the circumstances around the wreck or incident in the CMS to become familiar with their case.
- Conduct primary research to investigate whether prospective clients’ claims meet the criteria.
- Listen to clients with compassion and sympathy and respond to questions to guide them through the sign-up experience so the firm can represent them.
- Educate new clients on the client sign-up process and the advantages of signing with the firm.
- Review all potential new client intakes and disposition to sign, decline, further evaluate, and escalate severe cases for review.
- Open new cases in the system by entering detailed notes.
- Set up cases for initial stages without errors.
- Issue and execute new client contracts via DocuSign.
- Contact clients interested in the firm's services via multiple channels, including phone, text, web chat, and other systems, and respond to inquiries and follow-up.
- Refer cases not in the firm's area of expertise to other firms and document the referral in the CMS.
- Enter detailed client information into the case management system.
- Enter data and maintain company calendars.
- Comfortable speaking with law enforcement offices to obtain crash reports to enter into CMS.
- Set appointments for potential clients that meet the firm's criteria to assist in the growth of the caseload.
- Onboard new clients by completing the necessary paperwork and putting together case files.
- Schedule initial consultations with attorneys for potential new clients.
- Draft and prepare new client paperwork for meetings with attorneys.
Education and Experience Information
Minimum Qualifications
- High school diploma or equivalent with at least two years of experience in customer service, sales, or a similar role.
- High-level listening skills to gain a thorough understanding of claims.
- Excellent verbal communication skills, with strong attention to detail to explain the next steps.
- Experience with case management software.
- Proficient in Microsoft Office.
- Solid data entry and computer skills.
- Ability to work on multiple projects simultaneously, adapt quickly to changing priorities in a fast-paced environment, and meet all deadlines.
- Positive attitude and self-starter.
- Punctual and reliable.
