Job Title: Legal Administrative Assistant – 3-5 Yrs Experience – Civil Defense Litigation

Job Responsibilities:
- Perform secretarial and clerical duties essential for the efficient operation of the legal office.
- Open mail for attorney and log time on a timesheet as necessary to ensure accurate record-keeping.
- Enter attorney timesheets into the computer on a daily basis to maintain up-to-date records.
- Answer telephone calls, provide non-legal information when possible, refer calls to the attorney, and take messages to ensure effective communication.
- Transcribe dictation utilizing a dictation system (BigHand) and occasionally prepare correspondence on own initiative for the approval of a lawyer. Prepare legal documents as required.
- Maintain files, assisting with filing or requesting file clerk assistance from the office manager/floor supervisor when necessary to ensure the organization of documents.
- Responsible for scheduling depositions and various other meetings and appointments to facilitate smooth legal proceedings.
- In emergencies, may have to deliver or collect documents for the attorney at the courthouse, other law offices, etc.
- Make travel arrangements and hotel reservations for the attorney to ensure efficient travel plans.
- Maintain the attorney diary system to keep track of appointments and deadlines.
- Perform additional duties as required, demonstrating flexibility and adaptability in a legal setting.

Education and Experience Information:
- Must have at least 3 years of defense litigation experience, indicating a strong background in civil defense litigation.
- Must be proficient in Microsoft Office Suite to handle daily administrative tasks efficiently.
- Must be able to manage a heavy workload in a fast-paced environment, showcasing the ability to handle stress and prioritize tasks.
- Must be able to communicate with clients and co-workers effectively and efficiently, demonstrating strong interpersonal skills.
- Candidates must have a proven track record of organizational skills, possess excellent typing skills, possess a keen eye for detail, and have the ability to prioritize, multitask, and work in a team environment.

Salary Information:
- Salary range: $60,000 - $70,000 annually.
