Job Title: Guest Services Assistant
Job Responsibilities:
- Calendar & Meeting Support: Manage schedules, plan meetings, and coordinate logistics including catering, facilities, and virtual conferencing.
- Administrative Operations: Draft and proofread correspondence, process expense reports, create purchase orders, and submit and track requests for goods and services.
- Vendor & Contract Tracking: Maintain master lists of vendors, contracts, and certificates of insurance (COIs); monitor key dates and renewals.
- Project Coordination: Support ongoing facilities and guest services projects and special initiatives based on department needs.
- Travel & Event Logistics: Coordinate travel arrangements and department reservations in compliance with firm policies.
- Information Management: Organize sensitive files, respond to internal requests, and ensure smooth communication across teams.
Education and Experience Information:
- Education: Bachelor’s degree in Arts or Science preferred; equivalent experience considered.
- Experience: Minimum of three years in a law or professional services environment supporting senior staff.
- Organizational Strength: Proven ability to multitask, meet deadlines, and manage information accurately under pressure.
- Professional Communication: Strong interpersonal, writing, and proofreading skills with a high level of discretion.
- Technical Proficiency: Advanced Microsoft Excel required; working knowledge of PowerPoint, Visio, and Access preferred (EMS and i-Visitor training provided).
Salary Information:
- Chicago: $52,000 - $58,000
