Job Title: Administrative Assistant
Job Responsibilities:
The Administrative Assistant role at the law firm involves a hybrid work schedule, with three days in the office and two days remote, alternating every other week. The position requires handling various tasks and responsibilities to support the operations of the firm, particularly in estate law. The job duties include:
- Calendar management, including scheduling client calls/meetings and monitoring tax-related deadlines
- Preparation of Pennsylvania Inheritance Tax Returns
- Estate administration, which involves preparing and filing probate documents, advising clients, and responding to client inquiries
- Preparing trust and estate accountings
- Drafting simple wills and correspondence
- Applying for tax identification numbers
- Preparing and filing deeds and related documents, and reviewing deed records
- Calculating taxes, tax exemptions, and executor fees
- Conducting basic research of local and state rules, federal statutes, and IRS authority, and providing summaries to the supervising attorney
Education and Experience Information:
The position does not require prior experience in estate or law firm work. However, candidates must possess certain skills and abilities to be successful:
- Excellent written and verbal communication skills
- Strong problem-solving and organizational skills
- Ability to demonstrate flexibility, balance competing demands, and manage multiple projects simultaneously
- Initiative to improve processes while keeping team members informed
- Ability to maintain the highest level of confidentiality
- Outstanding customer service skills for internal and external clients
- Proficiency with office accounting methods and techniques, including Microsoft Excel, PowerPoint, Word, and Outlook, with the ability to learn other programs
- Working knowledge of Lackner preparation software is advantageous but not required
- Ability to work with numbers, including basic math, spreadsheets, and bank statements
The preferred educational qualification is a Bachelor’s degree. However, an Associate's degree with four years of comparable work experience will also be considered.
Salary Information:
Candidates are encouraged to provide their salary requirements when applying. The position is full-time, requiring 40 hours per week with a 45-minute lunch break. Benefits include 15 days of vacation, prorated for the remainder of the year, a Simple IRA program, and paid holidays on Memorial Day, July 4th, Labor Day, Thanksgiving, Christmas, and New Year's Day. Health insurance reimbursement is available if necessary.
Additional Information:
The job offers a flexible schedule and paid time off. The work schedule includes an 8-hour day shift. Candidates should be able to commute to the West Chester office as it is the primary work location, with a hybrid remote setup.
