Job Title: Legal Administrative Assistant, Litigation Practice Group
Job Responsibilities:
The Legal Administrative Assistant plays a crucial role in supporting the delivery of quality legal services to clients. This involves providing secretarial and administrative assistance to attorneys and paralegals, performing complex and specialized administrative clerical tasks, and working collaboratively in a team-oriented environment. Key responsibilities include:
- Preparing and organizing the opening or closing of legal matters under the direction of an attorney.
- Preparing and processing New Matter Intake forms.
- Preparing documents for e-filing and accurately transcribing legal documents and materials.
- Preparing, revising, and processing correspondence and memoranda, as well as complex legal documents, according to the requirements set by the relevant practice group.
- Maintaining paper and electronic files in compliance with the law firm’s policies.
- Coordinating lengthy and complex document preparation with the appropriate departments, ensuring all attachments, exhibits, and enclosures are included.
- Reviewing and routing incoming mail and faxes, and preparing and processing outgoing mail, including arranging for faxing, specialized mail, or messenger services as required.
- Maintaining and updating the calendars for assigned attorneys, which includes scheduling meetings, appointments, due dates, and client-related activities.
- Preparing daily time entries for assigned attorneys and paralegals, submitting them in a timely manner, and preparing expense reimbursement and disbursement requests.
- Coordinating client billing matters with the billing staff in the accounting department as needed.
- Receiving and screening phone calls, taking messages, receiving and directing clients and visitors, scheduling meetings, and arranging for conference rooms and meals.
- Coordinating travel arrangements, preparing itineraries, and preparing travel expense reports.
- Upholding the law firm’s reputation as a premier source for sophisticated legal counsel by delivering superior outcomes, service, and value to every client and matter.
- Performing other duties as assigned.
Education and Experience Information:
- A high school diploma is required, with at least two years of college preferred.
- At least two years of experience as a Legal Administrative Assistant is preferred.
- Prior experience in the assigned practice area(s) is desirable.
Knowledge, Skills, and Abilities:
- Demonstrated knowledge of legal terminology, legal documents, and legal processes in the assigned practice area(s).
- Accurate typing at a net speed of at least 60 words per minute is preferred.
- High proficiency in using MS Word and Outlook; computer skills sufficient to become proficient in various computer applications used by Legal Administrative Assistants, such as time entry, billing, and document management.
- Excellent communication skills, both written and oral, with a solid command of the English language, correct grammar, spelling, and punctuation, and excellent proofreading skills.
- Strong interpersonal skills with the ability to work effectively, cooperatively, and proactively within a team environment.
- Strong time management skills and the ability to work under pressure in a fast-paced environment, coordinating multiple tasks concurrently, and meeting deadlines.
- Strong organizational skills, basic math skills, and attention to detail.
- Initiative, flexibility, resiliency, and a willingness to adapt to change.
Salary Information:
This position is anticipated to pay within the range of $20-$30 per hour, depending on experience.
