Job Responsibilities:
The Ambassador at the law firm is tasked with a variety of responsibilities that center around providing exceptional customer service and administrative support. Key duties include:
- Greeting clients, visitors, and guests, determining the purpose of their visit, and directing or escorting them to the appropriate location.
- Responding to visitors’ questions, calls, and emails, providing them with relevant information about the firm.
- Managing the phone system by answering and routing incoming calls in a professional and friendly manner.
- Maintaining the reception area, conference rooms, and common areas to ensure they are clean and organized.
- Upholding workplace safety and security by following established protocols and procedures.
- Handling mail, documents, packages, and courier deliveries, ensuring proper distribution.
- Logging, scanning, and processing all incoming mail, including documents and checks.
- Managing the office e-fax inbox and routing faxes accordingly.
- Overseeing the booking and use of office conference rooms.
- Assembling and dispatching outgoing mail and packages, including subpoena packets, hearing binders, and trial documents.
- Processing records and documents received through various mediums and creating copies as needed.
- Assisting with trial preparation by assembling trial binders.
- Maintaining office inventory for supply rooms, common areas, snacks, and kitchen.
- Assisting with office, firm, and team initiatives such as events, breakfasts, and celebrations.
- Performing administrative and clerical support tasks, including printing, scanning, copying, and mailing.
- Supporting the execution of Office Services team initiatives and projects.
Skills and Competencies:
The role requires the following skills and competencies:
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Basic understanding of administrative and clerical procedures and systems.
- Proficiency with Microsoft Office Suite or related software.
Position Type/Expected Hours of Work:
- This is a full-time position.
- Standard working hours are Monday through Friday, from 8:15 am to 5:15 pm EST.
- The position may require overtime work as needed.
Required Education and Experience:
- High school diploma or equivalent is required.
- A minimum of 1 year of prior legal office experience is necessary.
