Job Title: Billing Coordinator

Job Responsibilities:
The role of a Billing Coordinator at the law firm involves providing comprehensive billing support and professional services to attorneys and clients. The essential duties and responsibilities include:

- Conducting daily audit approvals for new client/matter intake and change requests to ensure the accuracy of key accounting data in the core system. This includes making manual updates as necessary and reviewing outside counsel guidelines to confirm results in client/matter setups.
- Collaborating with legal secretaries and other staff to manage outcomes and expectations effectively.
- Reviewing submitted pre-bill/proforma documents and raising client invoices in the core accounting system as directed by attorneys. Responsibilities also include distributing invoices to clients based on their preferences (e-mail, e-Billing system, mail), requesting approval for significant write-downs of fees and/or costs, and processing adjustments, transfers, application of funds held in trust, and generating ad-hoc pre-bill/proforma documents.
- Coordinating specialized billing processes for assigned attorneys, which involves managing the set-up, submission, tracking, and follow-up on rejection/appeals for electronic billing, and serving as a liaison between attorneys, clients, and third-party billing vendors.
- Coordinating client billings based on thresholds with multiple billing attorneys and preparing status reports as needed.
- Monitoring the status of retainer billings, generating invoices, and preparing necessary reports.
- Communicating diplomatically with legal secretaries and attorneys to resolve billing challenges and inquiries within expected turnaround times.
- Assisting with the generation of ad-hoc time and billing requests and responding to external audit inquiries as needed.
- Performing other tasks and projects as assigned by the Assistant Billing Manager and/or the Billing Manager.

Education and Experience Information:
The position requires an Associate’s Degree in Accounting, with a preference for candidates who have 3-5 years of related experience in a professional services setting. The candidate must possess:

- Strong written and verbal communication skills.
- Technical proficiency with business and accounting software applications such as Microsoft Excel, Microsoft Word, Microsoft Outlook, Adobe, Elite Enterprise, and Elite 3E.
- The ability to work independently and meet established deadlines.
- A sense of responsibility and ownership of work.
- Attention to detail while understanding the broader context.
- Flexibility and problem-solving abilities.
- Organizational skills and the ability to transfer technical knowledge from one assignment to the next.

Salary Information:
The hourly range for the Billing Coordinator position is USD to USD. It is important to note that compensation is determined by various factors, including geographic location, experience, relevant degrees and certifications, and other applicable factors authorized by law.
