Job Responsibilities:
The Litigation Docket Specialist at the law firm is tasked with managing and overseeing the docket and calendar for all litigation matters within the firm. This role is crucial in ensuring that all critical dates and deadlines are accurately captured and communicated to the attorneys and legal staff promptly. Essential duties include:
- Receiving and reviewing mail, deliveries, court filings, pleadings, and other legal documents to identify deadlines and docket appropriate information.
- Maintaining and updating the firm's docketing system, Compulaw, ensuring the accuracy and completeness of all entries.
- Processing emails within a shared central docket inbox.
- Collaborating with team members on unfamiliar jurisdictions and contributing to a group environment.
- Covering for other Docket Specialists when they are out of the office.
- Processing attorney and/or legal administrative assistants’ emails for docketing purposes.
- Monitoring and interpreting federal, state, and local court rules to ensure timely calendaring of litigation events and deadlines.
- Generating and distributing regular docket reports and reminders to attorneys and legal teams.
- Working closely with attorneys, paralegals, and legal assistants to confirm deadlines and support compliance with court requirements.
- Retrieving electronic court documents using PACER and other e-filing systems.
- Auditing docketing entries for accuracy and completeness and identifying and correcting any discrepancies.
- Assisting in implementing and maintaining docketing procedures and protocols.
- Staying current with changes in court rules and ensuring timely updates to the docketing system.
Education and Experience Information:
Candidates for the Litigation Docket Specialist position should have at least two years of experience in docketing, preferably using Compulaw, or equivalent experience as a litigation legal assistant or paralegal. Additional qualifications include:
- In-depth knowledge of court rules and procedures at both federal and state levels.
- Strong administrative, organizational, and interpersonal skills.
- Proficiency with electronic filing systems and legal databases, such as PACER.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to work independently and as part of a team in a deadline-driven environment.
- Strong organizational and communication skills.
- Exceptional attention to detail and accuracy.
- Ability to docket in and learn multiple states’ jurisdictions.
