Job Responsibilities:
The Office Administrator is responsible for a wide range of duties aimed at ensuring the smooth operation of the office. Key responsibilities include assisting with the onboarding, offboarding, and training of legal support personnel. The role involves handling reception phone assistance, mail processing and distribution, document processing including copying, scanning, binding, or faxing, managing shipping and courier services, and overseeing office supplies inventory. The administrator collaborates with the records department to manage office files, including requesting labels, retrieving, delivering, moving, and processing files or boxes for storage and destruction.
Additionally, the Office Administrator coordinates internal meetings and events, manages conference room set-up, and provides concierge services. They offer general assistance to Human Resources, maintain office décor, greet guests, and oversee the daily operational needs of the office. The administrator serves as the on-site contact for external vendors, including building management, and collaborates with internal personnel and administrative departments for on-site needs.
The role also includes maintaining and reconciling office credit cards, submitting office-related invoices, administering and managing security and safety needs for the physical office, and assisting in the coordination of office moves and logistics for new or departing personnel. The Office Administrator collaborates with the IT department for on-site server and technical needs, assists in enforcing firm policies, and coordinates logistics for marketing engagements and business development events. Furthermore, they help in organizing internal office events and perform other related duties as assigned.
Education and Experience:
A Bachelor’s degree or relevant work experience is preferred for this position. Candidates should have a minimum of two years of experience, preferably in a professional setting.
Skills/Abilities:
The role requires excellent communication, interpersonal, and customer service skills. Candidates should possess excellent organizational skills and attention to detail, along with an aptitude for learning new applications, systems, and processes. The ability to maintain confidentiality, work independently and collaboratively, multitask, and function well in a high-paced environment is essential. Building and maintaining relationships is crucial. Proficiency with Microsoft Office365 is required, and experience with Microsoft Teams and iManage is preferred.
Physical Requirements:
The position requires prolonged periods of sitting and working on a computer. Candidates must be able to lift at least 25 pounds and perform physical activities such as standing, walking, carrying, pushing, pulling, reaching, stooping, bending, twisting, crouching, grasping, kneeling, and climbing. The use of carts, dollies, and other equipment may be required.
Travel Expectation:
The travel expectation for this role is less than 15%, and all travel is local.
