Job Title: Senior Paralegal - Probate Administration
Job Responsibilities:
The Senior Paralegal - Probate Administration at the law firm is expected to be a highly experienced probate paralegal who thrives on precision, accountability, and moving complex cases forward. The role involves being the go-to expert on probate matters, working closely with attorneys and clients to ensure every estate moves from opening petition to final distribution with speed, accuracy, and compassion. The core responsibilities include:
- Preparing all probate filings and notices, from Petition for Probate to Final Distribution.
- Liaising with clients, courts, probate referees, and third parties to move matters forward.
- Drafting Inventory & Appraisals, Ex Parte Petitions, accountings, and 13100 declarations.
- Monitoring deadlines and compliance across multiple counties using court portals and firm tools.
- Preparing and maintaining probate checklists and internal status reports.
- Collaborating with paralegals, legal assistants, and attorneys across offices.
- Leading/Managing the Probate Department, including training or mentoring junior probate staff as needed.
The candidate must have relentless follow-through and a deep respect for deadlines and client trust, proactive communication, and file ownership, running files like a project manager. There is a respect for structure and process, but also a willingness to improve them, and a desire to contribute to a growing team with high standards and shared wins.
Education and Experience:
- At least 5 years of heavy probate administration experience in California, including full case management from start to finish.
- Deep familiarity with the California Probate Code, California Code of Civil Procedure, and California Rules of Court.
- Knowledge of local rules in Santa Barbara, Ventura, and beyond.
- A paralegal certificate or equivalent qualifying experience under CA Business & Professions Code §6450 is required.
- Experience using Clio, probate checklists, templates, and matter management systems is preferred.
- Strong writing and client communication skills are a must.
Salary Information:
Compensation for the Senior Paralegal - Probate Administration role ranges from $95,000 to $115,000 plus bonuses, based on experience. The position offers flexibility with a hybrid setup for high performers, and the work location can be on-site in Santa Barbara or remote if the candidate has the requisite experience.
