Law Firm is seeking a highly organized and detail-oriented Billing Coordinator to join our Accounting Department. In this role, you will support the billing function for assigned practice areas and/or offices. The ideal candidate will have at least two years of experience in a similar role at a law firm or legal department, and possess strong technical skills and the ability to manage multiple priorities in a fast-paced environment. Essential Functions:
- Assist with distribution and editing of monthly Proformas for assigned Billing Specialist
- Review finalized invoices for accuracy before sending
- Prepare cover letters and reports to accompany invoices
- Provide billing supporting documentation as required
- Research and respond to billing inquiries in a timely manner
- Identify and resolve billing inaccuracies
- Assist with resolution of unpaid invoices
- Act as a client/attorney liaison for customer service
- Monitor work in process and follow up with attorneys
- Review documents for compliance with client guidelines and fee arrangements
- Review billing rates for compliance and annual increases
- Maintain client and attorney billing notes in portal
- Review aged/unbilled work in process and provide status updates
- Verify accuracy of billing records and statements
- Ensure tasks are completed in accordance with Firm and client guidelines
Collaboration and Teamwork:
- Proactively assist billing specialists and attorney teams with tasks
- Adhere to all firm policies, procedures, and guidelines
Qualifications:
- Associate's Degree in accounting, finance, or other relevant field preferred
- Minimum of two years' experience at a law firm or legal department
- Strong technical skills, including proficiency in Microsoft Office Suite, Adobe, and time and billing software
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment
- Excellent judgment and decision-making skills
- Strong verbal and written communication skills
- Ability to work independently and streamline data
- High level of interpersonal skills and ability to handle confidential situations
- Strong organizational skills
- Ability to maintain confidentiality and provide outstanding customer service
Work Environment and Physical Demands:
This job operates in a clerical, office setting and may require sitting for extended periods of time. The employee may also need to lift, carry, push, or pull objects up to 10 pounds. Close visual acuity is required for tasks such as analyzing data, transcribing, and viewing a computer terminal.
