Job Title: Docketing Specialist

Job Responsibilities:
The Docketing Specialist is tasked with the critical responsibility of monitoring and managing all docketing requests within their designated assignment group, which may include specific offices or practice groups. The specialist is required to:

- Independently docket for the assigned group, incorporating specific offices or practice groups, and manage shared email boxes.
- Review filed documents and written docketing requests to identify and docket all pertinent deadlines.
- Conduct limited research to verify the applicability of deadlines by reviewing court and agency websites and dockets.
- Communicate regularly with case teams to gather additional information necessary for accurately maintaining case docketing.
- Verify the accuracy of docketed items and deadlines generated by the docketing software.
- Ensure the accuracy of case information and timekeepers on each matter.
- Generate and distribute docket reports for case teams.
- Respond professionally and promptly to all questions and requests from case teams regarding the calculation of deadlines, court and agency rules and procedures, and firm docketing guidelines.
- Maintain a working knowledge of updates and developments in the rules and procedures within the designated docketing assignment group.

Education and Experience:
Candidates interested in the Docketing Specialist position should possess the following qualifications:

- A 2-year degree or Paralegal Certificate is required; a 4-year degree in a related field is preferred.
- A minimum of 3 years of litigation docketing experience utilizing docketing software is required; experience with Aderant CompuLaw Vision or Milana is preferred.
- Strong knowledge of the litigation process, court rules, and procedures.
- Familiarity with federal and state court systems, as well as arbitration, mediation, and administrative government agencies.

Technical Skills:
The role requires proficiency in technical skills such as:

- Proficiency with docketing software, preferably Aderant’s CompuLaw and/or Milana.
- Demonstrated proficiency in Microsoft Office Suite including Word, Outlook, Excel, and PowerPoint.
- Proven aptitude to learn new software applications.
- Familiarity with PACER and other electronic case filing systems.

Language Skills:
Effective communication is crucial, and the candidate must have:

- The ability to communicate with end users and other department staff members.
- The ability to speak effectively with all levels of clients and professional and support staff.
- Interpersonal communication skills necessary to maintain effective relationships with partners, attorneys, clients, and staff, and to exhibit a high degree of responsiveness, diplomacy, and professionalism in these interactions.
- The ability to respond to common inquiries or complaints from all levels of professional and support staff, clients, regulatory agencies, or members of the business community.

Mathematical Skills:
The position requires basic mathematical skills including:

- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability:
Critical thinking and reasoning abilities are essential, including:

- Ability to apply common sense understanding to follow instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving concrete variables in standardized situations.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to interpret an extensive variety of instructions and deal with abstract and concrete variables.

Other Skills and Abilities:
Additional skills required include:

- Strong analytical and communication skills both oral and written.
- Excellent organizational and planning skills with the ability to prioritize multiple tasks and projects to meet deadlines.
- Ability to work overtime when needed. Work occasionally requires more than 40 hours per week to perform the essential duties of the position.

Physical Demands:
The physical demands for the position include:

- Regularly required to sit; use hands to finger, handle, or feel objects, documents, books, pen/pencil, paper, controls, and manipulate a keyboard, and input data into a PC; and talk or hear.
- Frequently required to walk.
- Occasionally required to use hands to prepare correspondence and reports on a personal computer.
- Occasionally required to stand and reach with hands and arms, stoop, kneel, bend, crouch, or crawl.
- Ability to operate a variety of standard office equipment including a computer, copy, and facsimile machines.
- Must occasionally lift and/or move up to 25 pounds.
- Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

The work environment characteristics include:

- The noise level in the work environment is usually moderate.

Salary Information:
The expected annual salary for the Docketing Specialist position ranges from $65,000 to $90,000. The salary offered will be determined by a wide range of factors including, but not limited to, experience level, education/training, and relevant skills.
