Job Responsibilities:
The Office Services Specialist plays a crucial role in executing the daily activities of the Office Services Department at the law firm. The responsibilities of this position encompass a variety of tasks essential for the smooth operation of the office. Key duties include:
- Photocopying: Processing all incoming photocopy projects based on written and/or verbal instructions. This includes scanning materials for attorneys, clients, and staff, recording expense charges to clients and departments for photocopies and supplies, binding materials using velo and spiral methods, ensuring copy and supply rooms are clean and stocked, and managing inventory of supplies such as paper, toner, and binding materials.
- Mail Distribution: Receiving, sorting, and delivering incoming mail, packages, and documents within the office at scheduled intervals. Responsibilities also include delivering overnight packages to recipients, maintaining logs for incoming and outgoing deliveries via services such as Federal Express, UPS, DHL, and USPS, ensuring appropriate billing of expenses related to mailing and special deliveries, overseeing the collection and preparation of courier items to branch offices, maintaining a stock of mailing supplies, and ensuring in-house mailboxes are properly labeled and updated.
- Conference Room Set-up: Assisting with arranging conference rooms, including setting up tables, chairs, and equipment for meetings and events.
- Other Duties: Stocking coffee supplies in all floor pantries daily, accepting and verifying orders from supply vendors, completing work with other staff departments and offices as needed, regularly communicating with the supervisor about department issues and workload, and assisting other department members as required.
The role demands regular attendance, timeliness, physical presence at the office, and schedule flexibility, including evening and weekend hours to accommodate special projects.
Education and Experience Information:
Applicants for the Office Services Specialist position are required to have a high school diploma or GED. Additionally, a minimum of three months of related experience or an equivalent combination of education and experience is necessary. Candidates should be good communicators with strong attention to detail skills. The role requires the physical ability to lift boxes weighing up to 50 lbs.
Salary Information:
The salary range for the Office Services Specialist position at the law firm is between $47,000 and $65,000 per year. The exact salary will depend on the candidate's skills and experience.
