Job Responsibilities:
The Legal Secretary at the law firm is responsible for a variety of tasks essential to the efficient functioning of the legal team. These responsibilities include:
- Preparing and processing legal documents and papers such as summons, subpoenas, complaints, appeals, motions, and pretrial agreements.
- Handling Federal and State of California court filing, both manually and electronically.
- Formatting briefs to include a table of contents and table of authorities.
- Drafting and filing pleadings, as well as drafting and serving discovery documents.
- Managing correspondence by mailing, faxing, or arranging for the delivery of legal documents to clients, witnesses, and court officials.
- Receiving and placing telephone calls, and scheduling and making appointments.
- Assisting with office administrative duties, including making photocopies of correspondences, documents, and other printed materials.
- Organizing and maintaining law libraries, documents, and case files.
- Assisting attorneys in collecting information relevant to caseloads.
- Attending legal meetings to take notes, such as client interviews, hearings, or depositions.
- Drafting and typing office memos.
- Reviewing legal publications and performing database searches to identify laws and court decisions relevant to pending cases.
- Submitting articles and information from searches to attorneys for review and approval for use.
- Completing various forms such as accident reports, trial and courtroom requests, and applications for clients.
- Performing other work-related duties as assigned.
Education and Experience Information:
- A high school diploma or equivalent is required, with an Associate degree or higher preferred.
- A minimum of three years of relevant work experience in litigation legal secretarial work is required, with experience in medical malpractice preferred.
- Knowledge of legal terminology and legal document management, including briefs, summonses, complaints, motions, pleadings, and discovery, is essential.
- Familiarity with federal and state court rules and e-filing procedures is necessary.
- Experience with litigation management software systems is preferred, with ProLaw being a plus.
- Effective oral and written communication skills are required, with knowledge of correct grammar, spelling, and punctuation usage.
- Proficiency in Microsoft Office applications such as Word, Excel, and PowerPoint is required.
- Ability to operate basic office equipment such as a copy machine, fax machine, printer, scanner, and computer, and proficiency with internet research is necessary.
- Accurate typing skills with the ability to type at least 80 words per minute are required.
- Previous calendaring experience is preferred.
- Ability to multi-task and manage time effectively is essential.
- Excellent organizational skills with an eye for detail are required.
- Ability to be flexible, adapt, and act quickly when urgent matters arise is necessary.
- Ability to work and maintain patience with diversified individuals of various ethnic backgrounds and professional competencies is required.
- Ability to maintain confidentiality is essential.
Salary Information:
The position offers a salary range of $38 - $41 per hour.
