Job Title: Patent Specialist

Job Responsibilities:
The Patent Specialist will provide critical support in US patent prosecution and related patent matters, with a focus on US and Patent Cooperation Treaty (PCT) filings, managing deadlines, and handling special projects. Key responsibilities include:
- Supporting US patent prosecution across all stages, working closely with attorneys, patent specialists, paralegals, and clients.
- Preparing, coordinating reviews, and filing US and PCT patent applications, responses, and issue fees, both electronically and on paper as required. This also includes preparing supporting documents such as formal documents, declarations, assignments, and powers of attorney.
- Drafting correspondence to inform clients about the status of patent applications and other patent-related matters.
- Reporting correspondence and notifications from the United States Patent and Trademark Office (USPTO) and PCT, including assignments, office actions, Information Disclosure Statements (IDS), Missing Parts, Petitions, Notice of Allowances, and more.
- Managing client portfolios by preparing and maintaining status reports, charts, and handling various client projects and tasks. Acting as a single point of contact for clients and providing needed assistance.
- Drafting, filing, and reporting IDS and managing IDS references using contracted resources as appropriate.
- Managing dockets, monitoring deadlines, and ensuring all activities are completed timely by communicating and following up with appropriate parties.
- Reviewing, organizing, and filing documents and emails in the firm's document management system, iManage, according to firm protocols.
- Completing special projects as assigned and performing other necessary duties.
- Providing administrative support for patent-related activities.
- Supporting client services, including preparing and processing reports, coordinating meetings, or meeting with client patent paralegals.
- Reporting filings and notifications to clients through a client portal.
- Reviewing client proformas, making edits, and finalizing them for attorneys. Handling patent prosecution administrative tasks or routing them to others as needed.
- Maintaining accurate daily time records for client billing and statistical purposes.

Education and Experience Information:
- A minimum of two years’ experience as a patent prosecution paralegal, legal secretary, or a comparable position within a law firm or in-house legal environment.
- Experience with Electronic Filing USPTO procedures is essential.
- Excellent knowledge of USPTO and PCT rules and procedures is required.
- Foreign filing experience is preferred.
- Proficiency in technology including Microsoft Office Suite, Adobe Acrobat, the USPTO Electronic Filing System, Dialog, and other internet research tools.
- Familiarity with timekeeping software (InTapp), iManage, FoundationIP, and Claim Master.
- Excellent client service skills are needed.
- Ability to work independently and collaboratively, handle multiple projects, and prioritize assignments.
- Strong organizational and time management skills, confidentiality in handling client information, and the ability to work in a fast-paced environment.
- Effective written and oral communication skills and a strong work ethic are required.
- Must be adaptable, dependable, and possess a positive attitude.

Salary Information:
This full-time position offers a competitive salary range in Seattle and California, from to per hour. The firm supports a hybrid work schedule with a combination of in-office and remote workdays.
