Job Title: Docketing Specialist and Legal Records Clerk
Job Responsibilities:
Docketing Assistant
- Assist in the coordination, management, and maintenance of the law firm’s docket.
- Maintain attorneys' calendars for hearings, trials, motions, and other deadlines.
- Utilize proprietary software to create the docket and disseminate information to appropriate calendars.
- Receive training on Federal, State, and local rules for calendaring deadlines.
Records Management
- Research and fulfill file retrieval requests.
- Manage database for logging files in/out from Vendor Record Center (VRC).
- Maintain a relationship with the vendor and manage file ordering.
- Prepare and scan files designated for destruction.
- Oversee 3rd party outsourcing for oversize and special requests.
- Conduct annual file destruction.
- Organize and maintain the workroom and supplies.
Office Services
- Maintain copiers and printers, including preventive maintenance, toner replacement, and contacting repair services.
- Conduct inventory control by tracking and compiling lists of office supplies and other items.
- Clean and organize office services areas.
- Restock office supplies regularly.
- Ensure the kitchen is kept clean.
- Restock copy machines daily.
- Manage recycling efforts.
Reception Back-up
- Cover the reception desk during lunch hours and at the end of the day.
- Manage mail intake duties.
- Cover for vacations when necessary.
Mail Management
- Assist in processing incoming mail.
- Post all outbound USPS mail and manage outgoing FedEx shipments.
- Report monthly postage usage to the Accounting Controller.
- Manage postage funding.
Imaging/Scanning
- Ensure safekeeping of scanning for the estate planning group, monitored by Office Services.
- Handle large scanning jobs received from secretaries and paralegals.
Safekeeping File Retrieval
- Retrieve and/or leave files at storage once a week or as needed.
Any Ad Hoc projects that may arise as needed.
Education and Experience Information:
- An associate or bachelor's degree is required.
- Previous experience in docketing and legal records management is beneficial.
- Strong attention to detail and the ability to manage multiple deadlines and tasks are essential.
- Strong organizational, communication, and time management skills are required.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is necessary.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Physical Requirements:
- Prolonged periods of sitting at a desk.
- Must be able to lift up to 50 pounds.
Salary Information:
