Job Title: Practice Support Team Specialist (Corporate Legal Assistant)
Job Responsibilities:
The Practice Support Team Specialist (Corporate Legal Assistant) is accountable for delivering administrative support to designated attorneys within a specific Practice Specialty Center at a law firm. The role entails managing multiple projects and priorities, including delegating tasks to other teams. The specialist will work within a Practice Support Team, sharing overflow responsibilities and providing support to all timekeepers assigned to the team. Key responsibilities include:
- Coordinating workflow for assigned attorneys and delegating tasks to other teams while ensuring follow-up and quality control.
- Preparing documents by typing, transcribing, revising, and proofreading legal documents accurately, prioritizing assignments, and meeting specific deadlines.
- Assisting in coordinating timekeeper calendars and meeting arrangements, making travel arrangements, and preparing itineraries.
- Coordinating accounting administrative functions, which include managing client billing matters, preparing billing letters, assisting attorneys with tracking and monitoring alternative fee arrangements, and automation of matter budgets.
- Processing new client/matter intake by preparing forms, requesting conflict checks, and opening new files.
- Reviewing and routing incoming mail and fax communications, preparing and processing outgoing mail and faxes, and arranging specialized mail or messenger services.
- Providing general administrative support such as maintaining attorney contacts and tracking requirements related to CLE and memberships.
- Working collaboratively in a team, demonstrating effective teamwork and communication, participating in meetings, and sharing information for maximum job effectiveness.
- Utilizing team software to log and manage workflow.
- Operating office equipment including PCs, printers, phones, copiers, and typewriters, and conducting all business in a confidential manner.
- Performing other duties as assigned.
Education and Experience Information:
- A High School Diploma or GED is required, with a 2-year degree preferred.
- 3-5 years of experience is required in a similar role.
- A minimum typing speed of 60 words per minute is necessary.
- Proficiency in the Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel, is required.
- Previous transcription experience is preferred.
Salary Information:
The compensation for the position is commensurate with skill and experience, varying based on factors such as skills, experience, location, and other legally permitted factors. The expected compensation ranges for this position in various states and jurisdictions are:
- State of California: $60,000 - $114,000
- State of Colorado: $49,000 - $88,000
- State of Illinois: $48,000 - $94,000
- State of Massachusetts: $53,000 - $102,000
- State of Minnesota: $53,000 - $88,000
- Washington, .: $69,000 - $101,000
These salaries do not include a discretionary bonus, which is non-guaranteed and dependent on individual and firm performance.
