Job Title: Client Financial Intake Specialist
Job Responsibilities:
The Client Financial Intake Specialist at the law firm holds the responsibility for ensuring the integrity and accuracy of client data crucial for efficient billing, e-billing, and collections processes. The specialist will leverage their expertise in legal financial systems to organize and maintain up-to-date client data. Collaboration is key in this role as the candidate will work closely with the Billing and Accounts Receivable Manager, and coordinate with Billing, E-Billing, Accounts Receivable, and Pricing colleagues, as well as other members of the Finance Department and attorneys. The objective is to identify areas of improvement, provide recommendations, and implement changes to enhance system efficiency. The specialist will ensure that client addresses, contact information, and bill distribution updates in Aderant Entity Manager are accurate and current, making necessary changes as requested. The role involves reviewing new client engagement letters for billing guidelines, special rates, alternative fee arrangements, and retainer information, ensuring that systems are properly configured for seamless information flow. The specialist will also review current and new client guidelines to facilitate accurate time entry, billing, e-billing, and collections, and will communicate with billing attorneys and the Office of General Counsel for guideline approval. Additionally, the specialist will assist with Aderant Projects related to timekeeper setup, client billing restrictions, and requirements, as well as handle research and resolution of ad-hoc projects and assignments as they arise.
Education and Experience Information:
The preferred educational qualification for the Client Financial Intake Specialist position is a Bachelor’s degree or a comparable level of legal billing experience. A strong understanding of all end-to-end aspects of client revenue accounting is essential. Experience with Aderant Entity Manager and Prebill Manager is required, while familiarity with other software like Docudraft, BillBlast, Intapp Time, and other revenue-cycle software is considered a plus. Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook, is necessary. The candidate should possess excellent attention to detail, written, verbal, and interpersonal communication skills. A pro-active, inquisitive, and analytical problem-solving attitude is crucial, along with the ability to collaborate effectively with all finance team members and promote a positive work environment. Effective client management skills with a record of providing excellent customer service are required, as are flexibility, time management, and the ability to organize and prioritize workload effectively.
Salary Information:
The offered salary for the Client Financial Intake Specialist position will be determined by a variety of factors including, but not limited to, work location, individual skill set, previous and applicable experience, education, external market data, and consideration of internal equity.
