Job Title: Legal Support Specialist

Job Responsibilities:
The Legal Support Specialist in the Real Estate department is responsible for a myriad of tasks that support the practice-specific activities of the law firm. This includes managing day-to-day administrative and strategic initiatives, workflow management, and preparation of client reports and documents. The role demands effective management of the professional responsibilities of the assigned attorneys, which encompasses coordination with clients, proactive management of attorney calendars, and responsibility for monthly billing. Key responsibilities include:

- Assisting in the creation, editing, proofreading, and processing of legal documents such as correspondence, memoranda, closing documents, and other practice-specific documents.
- Preparing closing statements and aiding in the drafting of closing documents.
- Preparing closing disbursements, closing binders, and title policies.
- Assisting in drafting opinions, correspondence, memos, and other documents.
- Assisting attorneys in complying with client requests and requirements, including client-specific billing requirements.
- Managing practice calendars to ensure efficient operation.
- Maintaining legal files, both paper and electronic, and organizing and orderly filing documents.
- Managing document deliveries and tracking final executed documentation.
- Assisting with overflow work and other projects as needed.
- Collaborating with paralegals and other legal support team members.
- Receiving and evaluating telephone calls for supporting attorneys and conveying messages promptly.
- Opening new matters, drafting engagement letters, making travel arrangements, processing reimbursement expenses, maintaining attorney calendars, and other administrative duties.

Education and Experience Information:
The ideal candidate for the Legal Support Specialist role should have the following education and experience:

- A Bachelor’s Degree or equivalent experience is preferred.
- Seven or more years of experience working in a medium to large-sized law firm, specifically in the Real Estate department.
- Bilingual proficiency in English and Spanish is preferred, as is experience with iManage.

Skills & Competencies:
The position requires a well-rounded skill set and competencies, such as:

- Proficiency in handling administrative tasks like travel arrangements, and processing invoices and expenses.
- Strong problem-solving skills and the ability to prioritize and manage multiple activities.
- Being a self-starter, organized, and able to work with minimal supervision.
- Computer proficiency with the Microsoft Office Suite applications, including Word, PowerPoint, Excel, and Outlook.
- Strong attention to detail, organizational skills, and effective time management.
- Good interpersonal communication skills, both written and oral.
- Ability to work under pressure to meet deadlines.
- Experience handling real estate transactions and closings.
- Experience coordinating title matters, lien searches, and electronic recording (., Simplifile).

Technology:
Candidates must be proficient with Windows-based software and Microsoft Word, Excel, and Outlook.
