Job Responsibilities

The Records Specialist is responsible for delivering records management services within the law firm. Key responsibilities include:

- Creating and bar-coding both active and inactive client files to ensure efficient tracking and retrieval.
- Performing data entry tasks in the records management database and assisting users with any requests for information or reports from the records database.
- Responding promptly to email requests and phone calls to maintain effective communication.
- Preparing and processing client files for off-site storage and providing backup support for the delivery of these off-site storage boxes to clients.
- Escorting the off-site storage vendor to the staging area for box pick-up and deliveries, ensuring smooth operations.
- Conducting scheduled audits of the records center, offices, and workstations to ensure compliance and order.
- Assisting with retention and destruction activities and providing backup assistance by escorting the confidential shredding vendor to shredding bin locations for service.
- Offering case room management assistance and scheduled file pick-up support.
- Assisting records center personnel as needed and participating in additional projects as necessary.
- Performing other duties as assigned to support the overall records management function.

Qualifications

Knowledge, Skills, and Abilities

- Demonstrated ability to communicate clearly and effectively, both orally and in writing, with Records staff and clients.
- Ability to provide basic client service with ordinary tact and courtesy.
- Capacity to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements, including the handling of sensitive or confidential information.
- Intermediate knowledge of automated records management systems and proficiency in data entry and retrieval.
- Ability to work effectively with others in a cooperative, enthusiastic, and friendly manner to accomplish position functions and participate in team efforts.
- Basic knowledge of Microsoft Office Suite products such as Word, Excel, PowerPoint, and Access.
- Physical ability to safely lift, move, and carry boxes without assistance, weighing up to 25 lbs.
- Willingness to work overtime as required.

Salary Information

The law firm offers a competitive compensation and comprehensive benefits package, including healthcare, vision, dental, retirement, all-purpose leave, and progressive options such as backup childcare, wellness programs, cultural events, and social activities. The pay range for this position is $45,000-$58,000. Additional compensation may include a discretionary bonus. The salary for this position may vary based on location, market data, the applicant’s skills and prior experience, certain degrees and certifications, and other factors.
