Job Title: Information Governance Specialist

Job Responsibilities:
The Information Governance Specialist (IGS) plays a pivotal role in shaping and executing the Information Governance Program at a law firm. This includes ensuring adherence to privacy, confidentiality, and information-security laws and regulations, as well as client requirements and firm objectives. The role demands extensive knowledge of electronic legal recordkeeping and experience with information management technology solutions. Key responsibilities include:

- Exercising sound judgment to ensure compliance with firm policies and procedures, understanding how ethical, legal, and client obligations impact data management in a global setting.
- Collaborating with leadership and stakeholders to support the program globally, assessing needs, identifying gaps, and recommending improvements.
- Coordinating secure file transfer processes, working with IG leads, lawyers, IT staff, and external parties.
- Implementing records retention and disposition activities in line with the Global Records Management Policy for legal and business services.
- Advising on aspects of the departure process, including task assignment, quality control, records maintenance, and risk mitigation.
- Providing guidance on legacy data retention projects for client and firm data.
- Conducting data analysis and proposing solutions for remediating and migrating unstructured data.
- Leading projects, allocating work, and monitoring the quality of others’ work.
- Auditing information governance processes and ensuring compliance with firm policies.
- Advising on appropriate data storage locations for client and firm data.
- Driving changes in working practices to enhance electronic recordkeeping adoption.
- Promoting and increasing Document Management System (DMS) usage, security, and compliance.
- Educating attorneys and staff on effective information governance practices.
- Staying updated with industry best practices and developments in information governance and records management.
- Performing additional duties as assigned to meet firm goals and objectives.

Education and Experience Information:
- A Bachelor’s degree is required. The educational background can be from various disciplines, including information technology, legal, risk management, library sciences, compliance, information management, and records management.
- Professional certifications related to information governance, such as Information Governance Professional (IGP), Certified Records Manager (CRM), Enterprise Content Manager (ECM), or Project Management Professional (PMP), are desirable.
- Data privacy qualifications like CIPM, CIPP/E, and/or CIPP/US are desirable.
- A minimum of 5 years of relevant experience is required, preferably at a law firm.
- Experience in information governance systems, including business and workflow analysis and functionality testing, is preferred.
- Functional expertise in information governance principles and experience in educating end-users on managing information in compliance with these principles.
- Demonstrated experience in project coordination and accountability.

Technical Skills:
- Proficiency in Microsoft Office products (Outlook, Word, Excel, Visio, Teams, SharePoint) is required.
- Expertise in Microsoft SQL reporting services and Power BI is a plus.
- Experience with enterprise technology solutions for managing both physical and electronic information, such as iManage, iManage Records Manager (IRM), and LegalKEY.
- Experience conducting large-scale reviews of complex data sets and the ability to analyze data using various data reporting tools.

Salary Information:
The typical salary range for this position varies by location:
- In New York: $94,500 to $125,000
- In Chicago: $88,800 to $117,400
- In Washington, .: $89,200 to $118,000

Actual salaries may vary based on the candidate's education, experience, skills, and internal pay alignment.
