Job Title: Legal Administrative Assistant
Job Responsibilities:
The Legal Administrative Assistant at the law firm plays a crucial role in supporting the attorneys and paralegals in a dynamic and fast-paced environment. The responsibilities include:
- Greeting clients, guests, and visitors, and welcoming them to the firm.
- Answering the telephone using a multiline phone system.
- Tracking deadlines and managing attorney calendars efficiently.
- Opening files, inputting client data, and corresponding with clients to ensure seamless communication.
- Scanning, copying, and emailing documents to third parties, ensuring timely and accurate delivery.
- Processing a variety of correspondence, memoranda, reports, and documents.
- Maintaining an inviting reception area to provide a welcoming environment for visitors.
- Sorting, scanning, and delivering mail, processing correspondence for mailing and filing.
- Maintaining and ordering office supplies to ensure the office is well-stocked.
- Retrieving deed information through various Register of Deed resources.
- Performing routine administrative and clerical support tasks to assist in daily operations.
Education and Experience Information:
The ideal candidate for the Legal Administrative Assistant position should have:
- A minimum of two years of customer service experience, demonstrating the ability to interact professionally with clients both in person and by phone.
- Excellent writing and verbal communication skills, with proficiency in Microsoft Word, Excel, and Adobe Creative Suite.
- Acute attention to detail, with the ability to work independently and as part of a team, with minimal supervision.
Preferred qualifications include:
- Three or more years of experience as a legal administrative assistant in a firm specializing in Estate Planning, Real Estate, Tax, or Corporate law.
- A Bachelor’s degree from an accredited college or university, or an Associate’s degree in legal administrative studies or a similar field of study.
- Familiarity with cloud-based law practice management programs, including CosmoLex.
- Certification as a Notary Public or willingness to attain such certification.
- Although not required, a cover letter and/or writing samples will be favored when considering applications.
Salary Information:
The position offers a salary range of to per hour, commensurate with skills and experience. There is an opportunity for compensation exceeding the target range for a legal assistant who demonstrates:

This is a part-time, in-office position with expected hours of 20 to 25 per week. The schedule is 12pm-5pm, Monday-Thursday, with Fridays being optional. This is not a remote position.
