Job Title: Paralegal Assistant & Frontline Phone Coordinator
Job Responsibilities:
1. Administrative Support to Case Manager:
- Assist in preparing USCIS applications and support documents, such as I-130, I-485, I-765, N-400, etc.
- Upload, organize, and review evidence and materials provided by clients in case files.
- Draft cover letters and simple USCIS correspondence using templates.
- Help monitor and respond to client messages under the direction of Sofia.
- Track deadlines and prepare checklist-based updates for active cases.
2. Phone Coordination:
- Answer and route incoming calls professionally and efficiently.
- Prioritize urgent matters, including biometrics notices, interview reschedules, and Requests for Evidence (RFEs).
- Log and summarize call details using the internal system.
- Transfer calls to the correct team member or take detailed messages.
- Ensure daily follow-up for voicemails and missed calls.
Education and Experience Information:
- Experience in customer service, call center, law office support, or USCIS-related casework is preferred.
- Strong verbal and written communication skills are essential.
- Bilingual proficiency in English and Spanish is required.
- Proficiency in Microsoft Office and document management systems is necessary.
- Ability to multitask and stay organized under pressure is important.
- A friendly, empathetic, and calm phone demeanor is crucial.
Salary Information:
- The position offers a salary of $5 - $10 per hour.
This role is integral in providing both administrative support to the Transactions Case Manager and delivering excellent client service as a frontline phone coordinator. The candidate will ensure that USCIS cases are processed efficiently, clients feel supported, and Sofia, the Case Manager, can focus on case strategy and filings.
