Job Title: IP Administrator (Patent) I
Job Responsibilities:
The IP Administrator (Patent) I is responsible for providing support to one or more practitioners in the area of domestic patent prosecution. This includes preparing legal documents, maintaining dockets and files, and ensuring data integrity. The role involves interacting with clients and related personnel, providing practice support, and serving as a liaison between practitioners and internal or external team members or departments. Key responsibilities include:
- Preparing legal documents, reports, and correspondence related to domestic patent prosecution for practitioners and/or clients.
- Preparing and filing documents with the United States Patent and Trademark Office (USPTO).
- Assisting practitioners in managing their dockets according to law firm practices.
- Organizing and maintaining the integrity of electronic data and files related to clients' intellectual property in accordance with law firm policies and procedures.
- Reviewing incoming correspondence, including paper and electronic mail, facsimiles, docketed information, and/or client instructions, and taking necessary action in accordance with law firm policies and procedures.
- Demonstrating proficiency with software applications such as Microsoft Outlook, Word, Excel, and applicable IP software solutions, and learning new applications as needed.
- Using strong communication skills to interact with various parties via telephone, electronic mail, and facsimile as necessary, maintaining open lines of information-sharing with clients, practitioners, direct supervisors, and other law firm management and personnel as needed.
- Coordinating with colleagues and/or departments to ensure successful completion of assigned tasks and other requests in a timely manner.
- Researching and retrieving information for the completion of assigned tasks utilizing applicable resources, such as the law firm Intranet, training materials, legal rule books (., the MPEP), and the USPTO website.
- Performing general administrative and support duties or tasks as required and requested.
- Taking on additional responsibilities as needed and assigned.
Education and Experience Information:
- A Bachelor’s degree is preferred.
- A minimum of one to two years of domestic patent prosecution experience in a law firm or professional setting is required, with a preference for experience in a law firm setting.
- Demonstrated success in a demanding service-oriented environment.
- Proficient knowledge of domestic patent prosecution procedural terminology, requirements, and workflow.
- Effective oral and written communication skills.
- Proven interpersonal skills and the ability to work effectively with different levels of constituencies both as an individual contributor and in a team setting.
- Strong critical thinking, interpretive, and problem-solving skills.
- Strong organizational skills with meticulous attention to accuracy and detail.
- Ability to prioritize own work.
- Flexibility and resourcefulness, with a willingness to support the law firm and its business needs.
- Ability to respond calmly, efficiently, and effectively in stressful situations.
- Proficiency in MS Outlook, Word, and Excel, and applicable IP software solutions.
- Comfort using new technologies and databases.
- Demonstrated ability to handle multiple tasks simultaneously, and the ability to prioritize tasks efficiently.
- Ability to maintain confidentiality of matters and other law firm business information.
- Punctual and reliable.
- Ability to adhere to established work schedules, with flexibility required to respond to workload demands and work additional hours when necessary.
Salary Information:
The pay or shift range for the IP Administrator (Patent) I position is $69,000 USD to $84,400 USD annually. The actual pay will be determined based on experience and other job-related factors permitted by law.
