Job Title: Billing Coordinator

Job Responsibilities:
The Billing Coordinator at a national law firm is tasked with the responsibility of managing timely, efficient, and accurate client billing and e-billing processes. The role involves close collaboration with a designated group of attorneys to facilitate client billing in accordance with established guidelines and attorney requests, all within the firm's policy framework. The Billing Coordinator works closely with billing leadership and collaborates with e-billing, accounts receivable, and pricing colleagues, as well as other members of the finance and administrative departments and attorneys, to identify and resolve inquiries. The position is available across all office locations of the law firm.

Essential duties and responsibilities include:
- Creating client prebills and uploading them to Prebill Manager.
- Reviewing and collaborating on attorney prebill edits and generating client bills in a timely, efficient, and accurate manner, ensuring compliance with client billing guidelines and firm policy.
- Identifying unusual situations, gathering information, and escalating as necessary for assistance.
- Developing and maintaining appropriate reports internally and for clients, including spreadsheets, charts, summaries, and expense backup.
- Distributing invoices via the client e-billing system and working with e-billing providers to resolve issues with uploads, rates, billers, and budgets to ensure a seamless end-to-end process.
- Becoming an expert on client engagement letters and billing guidelines to ensure compliance, thereby limiting delays in billing and collections.
- Reviewing daily cash reports for client payments and application accuracy, identifying reductions for coordination with billing attorneys to appeal or write-off.
- Coordinating regarding client work-in-progress write-downs and accounts receivable write-offs, obtaining proper approval per policy, and forwarding for processing.
- Organizing and maintaining client billing and instruction files for each billing attorney and client account, implementing recordkeeping methods to increase efficiency and continuity.
- Being responsible for research and resolution on ad-hoc projects and assignments as they arise.

Education and Experience Information:
The preferred qualifications for the Billing Coordinator position include five years of experience in legal billing or comparable legal experience. A comprehensive understanding of all end-to-end aspects of client revenue accounting is essential. Experience with Aderant Billing, Prebill Manager, and client e-billing platforms is strongly preferred, while familiarity with software such as BillBlast and other revenue-cycle software is considered a plus. Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook, is required. The candidate must demonstrate excellent attention to detail, written, verbal, and interpersonal communication skills. A proactive, inquisitive, and analytical problem-solving approach is necessary. The ability to collaborate and cross-team with all finance team members and promote a positive work environment that embraces the abilities of all members is crucial. Effective client management skills with a record of providing excellent customer service are required, along with flexibility and the ability to manage time, organize, and prioritize workload effectively.

Salary Information:
The salary offered for the Billing Coordinator position will be determined by a variety of factors, including but not limited to work location, individual skill set, previous/applicable experience, education, external market data, and consideration of internal equity.
