Job Title: IP Admin Senior Analyst (Patent Paralegal)
Job Responsibilities:
- Provide end-to-end Intellectual Property (IP) lifecycle management support to clients, aiming to reduce operational costs through robust operational delivery and continuous improvement.
- Offer patent and/or trademark administrative support to assigned clients, ensuring the accuracy and integrity of patent and trademark management software.
- Monitor incoming communications from outside counsel, foreign agents, the United States Patent and Trademark Office (USPTO), and other patent and trademark offices for timely review and processing.
- Review and file prosecution-related documents with the USPTO across all stages, coordinating instructions to foreign agents to meet non-US patent or trademark prosecution deadlines.
- Prepare basic patent documents and/or trademark registrations, including classes and specimens, for client execution and file these at the USPTO. This includes electronically filing documents at the USPTO such as applications, amendments, assignments, responses, petitions, information disclosure statements, issue fees, etc.
- Review official filing receipts, notices of recordation of assignment, notices of allowance, issue notifications, and prepare reporting letters to clients. Prepare requests for correction when applicable.
- Prepare and forward reporting letters to clients regarding office actions and other USPTO communications, such as notices to file missing parts, trademark oppositions, and related notices.
- Prepare and forward reminders to clients regarding due dates and instructions, including forwarding letters patent to the client and filing fee address indication forms for the annuity service provider selected by the client.
- Review application papers filed in the USPTO for accuracy and completeness regarding inventors, assignees, priority data, etc.
- Order and review drawings for accuracy and completeness before submission to the USPTO.
- Assist with overall paralegal support, maintaining processes, tasks, and special projects as assigned.
Education and Experience Information:
- Minimum of 1+ year of recent . and foreign patent and/or trademark filing, prosecution, and/or docketing experience in a patent docket environment.
- Minimum of 1+ year of experience with patent and trademark management software such as Memotech, Foundation IP, The IP Management System, Inprotech, IPFolio.
- It is advantageous to have a Bachelor's degree in a related field and a paralegal certificate.
- Knowledge in maintaining patents after issuance, including annuities, maintenance fees, and/or renewals is beneficial.
- Proficiency in MS Outlook, MS Word, MS Excel, IPDAS, USPTO PAIR, EFS, and EPAS.
- Proficiency with time and billing tracking software is preferred.
- Strong customer focus and a proven record of exceptional service delivery.
- Ability to complete critical tasks with global teams in a matrixed environment.
Salary Information:
- The expected base salary for this position is $60,000 to $68,000 USD per year. This role is eligible for incentive or bonus earnings. Individual pay is based upon experience, education, skill and ability, expertise, and relevant factors.

Additional Information:
- This is a full-time, permanent position with a hybrid work model, requiring 2-3 days a week in one of the company's US offices.
