Job Responsibilities
The Litigation & Operations Legal Specialist at the company is tasked with several key responsibilities that revolve around litigation management, legal operations, and legal compliance. The specialist will be responsible for managing the active litigation docket, which includes handling small claims and eviction matters. They will process service of process and assign litigation matters to both in-house and outside counsel as needed. Additionally, the role involves assisting in compiling responses to discovery requests, subpoenas, government inquiries, and regulatory investigations.

The specialist will support internal investigations by developing timelines and analyzing data. They will coordinate with IT and business units to collect electronically stored information (ESI) for discovery and regulatory matters. Serving as an internal liaison, the specialist will facilitate communication between outside counsel, business units, and the legal team for fact collection, document production, and discovery coordination.

In terms of legal compliance, the specialist will provide guidance to the field operations and commercial real estate teams on various matters, including delinquent accounts, property management issues, and operations policies. For legal operations, the specialist will receive service of process and assign cases to in-house and outside counsel, maintain and update matter management systems, manage monthly accruals, track legal spend by matter type for reporting, and prepare and manage payment requests for legal invoices to ensure timely payment. They will also prepare monthly reports on various metrics, including legal activity and spend.

Education and Experience Information
Candidates for the Litigation & Operations Legal Specialist position are required to have a bachelor’s degree and an ABA-approved paralegal certificate or equivalent legal training, along with 5+ years of relevant experience. A thorough working knowledge of, and advanced aptitude in using, Excel, PowerPoint, Outlook, and Microsoft Word is necessary. Familiarity with corporate legal databases such as CounselLink, CSC, Westlaw, PACER, Docuware, and Yardi is also required, along with the ability and aptitude to learn new applications and programs.

The position demands excellent communication skills, attention to detail, and a high level of organization. Candidates must be self-starters with strong multi-tasking skills, able to adapt and function well within a highly dynamic, high-paced environment.
