Summary
The role of a Legal Administrative Assistant (LAA) at the law firm involves being part of a multi-practice LAA team. This team is integral to the attorney/client interface, handling responsibilities such as document production, time entry management, e-filing, binder preparation, travel coordination, meeting facilitation, and communication management. Additionally, LAAs manage mail and correspondence, expense entry, and file maintenance. The role requires effective collaboration with a range of professionals including attorneys, paralegals, staff, and clients. LAAs report to the Denver Office Manager and their daily work is coordinated by the Team Lead.

Job Responsibilities
Legal Administrative Support (75%)
- Type and modify legal documents accurately and within requested timeframes for the assigned legal group, prioritizing work and meeting deadlines.
- Coordinate complex document preparation with Work Product Support Services as needed.
- Prepare documents for e-filing as required.
- Review and route incoming mail; prepare and process outgoing mail and faxes, arranging for specialized services as needed.
- Ensure all attachments, exhibits, and enclosures are included.
- Maintain paper and electronic files in compliance with current policies.
- Work with Information Governance to create and maintain client files and indexes.
- Mark case or matter-related documents with filing instructions for proper filing.
- Perform routine filing and retrieve files as needed.
- Maintain chronological and administrative files for assigned attorneys.
- Professionally manage incoming calls, including client calls, and assist in coordinating timekeeper calendars, expense reports, travel, and meeting arrangements.
- Coordinate specific client dates with the Calendar/Docket Department as needed.
- Prepare and process new matter forms.
- Receive and screen phone calls, taking messages as required.
- Receive and direct clients and visitors.
- Schedule meetings and arrange for conference rooms and meals.
- Maintain and update contact names and addresses in the contact database.
- Communicate effectively with clients and others in the firm.
- Proactively anticipate the business needs of assigned attorneys, plan ahead, and meet deadlines.
Client Billing Coordination (20%)
- Prepare daily time entries for assigned attorneys using firm-approved narrative guidelines, submitting them timely to Accounting.
- Prepare expense reimbursement/disbursement requests.
- Coordinate client billing matters with Accounting billing staff, attorneys, and clients; prepare billing letters and other requested client financial updates; assist attorneys with tracking and monitoring alternative fee arrangements; assist attorneys with automation, tracking, and monitoring of matter budgets.
General and Administrative (5%)
- Demonstrate effective teamwork and assist other LAAs as time permits.
- Work cooperatively with other departments and individuals in the firm.
- Perform other duties as assigned by the core practice group.

Education and Experience Information
Required Education & Experience
- High School diploma or equivalent.
- 3-4 years of LAA experience or equivalent.
- Strong computer skills required with Microsoft Word and Outlook, as well as with file document management tools such as FileSite or WorkSite.
Preferred Education & Experience
- College or business school.
- Prior experience in the assigned practice area(s).
- Strong computer skills.
- Law firm experience preferred.
Supervisory Responsibility
This position has no supervisory responsibilities.
Travel
No travel is expected for this position.
Work Environment & Physical Demands
The position operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The work environment is fast-paced and may require additional hours to complete tasks.
Physical demands include talking and hearing, sitting and using hands and fingers, and occasionally standing, walking, reaching, climbing, balancing, stooping, kneeling, crouching, or crawling. The employee must regularly lift and/or move up to 10 pounds, occasionally up to 25 pounds. Vision abilities required include close vision.
Salary Information
The salary range for this role is $58,000– $78,000. This range is based on various factors, including experience, skills, qualifications, and location. The provided range is an initial approximation and may vary based on the individual's unique qualifications and experience.
