Job Responsibilities:
The Trust & Estate Paralegal is responsible for a variety of tasks that support the Trust and Estate practice area within the law firm's department. The primary responsibilities include:
- Managing bank and brokerage accounts for numerous individual Trusts and Estates. This involves making account disbursements and deposits, maintaining balances, transferring funds, and reconciling accounts.
- Providing support to Attorneys and Paralegals by preparing correspondence and other documents, maintaining files and sub-files, and performing various administrative tasks as assigned.
- Interacting with various banks and brokerage firms via telephone and email to facilitate account management and other related tasks.
- Preparing and maintaining Excel spreadsheets, filing quarterly estimated tax payments, compiling tax packages, and preparing correspondence to file returns with taxing authorities.
- Scheduling and preparing required documentation for probated estates, including scheduling Show Cause Hearings, preparing necessary documentation, scheduling attorney attendance, and following up with the Circuit Court as needed.
- Obtaining tax identification numbers online through the Internal Revenue Service to facilitate tax-related processes.
- Organizing monthly account activity to forward to the accounting outsourcing company to ensure accurate financial records.
- Determining automobile valuations and conducting unclaimed property searches as part of estate management tasks.
- Maintaining detailed and accurate daily billable hour records to ensure proper billing and record-keeping.
Education and Experience Information:
- A Bachelor’s Degree is preferred for candidates applying for the Trust & Estate Paralegal position.
- One or more years of work experience in a professional office environment is beneficial for applicants.
- Proficiency in Microsoft Office, particularly with a working knowledge of Excel, is required.
- Candidates must demonstrate exceptional mathematical aptitude to handle the financial aspects of the role effectively.
- The ability to work both independently and within a team environment is crucial for success in this position.
- Proven organizational skills and meticulous attention to detail are essential to manage the various responsibilities of the role.
- The ability to multi-task, prioritize competing responsibilities, and meet deadlines is necessary to handle the dynamic nature of the work.
- The ability to establish and maintain effective working relationships with clients, attorneys, co-workers, and other outside professionals is important for collaboration and service delivery.
- Excellent oral and written communication skills are required to interact effectively with clients and team members.
- Candidates must be self-starters with a strong work ethic, capable of taking initiative and working diligently.
