Job Title: Office Assistant
Job Responsibilities:
Administrative & Legal Office Support
- Provide administrative assistance to attorneys, legal assistants, and the Firm Administrator.
- Support the Firm Administrator with confidential and operational matters.
- Prepare, draft, and edit documents and correspondence with accuracy.
- Enter attorney time via Timeslips.
- Maintain and organize both office and case files (digital and paper).
- Assist with reception coverage, answering phones, greeting guests, and managing mail.
Office Operations & Coordination
- Assist in tracking budgets, processing expenses, and handling vendor communications.
- Coordinate firm meetings, including Zoom setup, Doodle polls, and calendaring.
- Take detailed minutes at all staff meetings.
- Manage office supplies, deliveries, and general errands.
- Oversee office equipment maintenance, such as copiers and postage meters.
- Maintain computer hardware and office equipment inventory.
- Serve as the second contact for IT-related matters.
Records & Compliance
- Manage the firm’s document management and records system.
- Oversee library subscriptions and physical/legal publications.
- Ensure compliance as the designated Site Officer.
Education and Experience Information:
- Minimum of 1 year of relevant administrative experience.
- High level of discretion with confidential information.
- Excellent communication, organizational, and time management skills.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Ability to work independently and collaboratively in a fast-paced environment.
- Willingness to work occasional overtime, including evenings, sometimes on short notice.
Salary Information:
- Salary range: $40,000–$52,000, commensurate with experience; pro-rated if part-time.
- Hourly pay: - per hour.
- Expected hours: 21 – 35 per week.

Additional Information:
Work Schedule:
- Full-time: Monday–Friday, 10:00 AM – 6:00 PM (hybrid: 4 days onsite / 1 remote after 8-week training).
- Part-time: 1:00 PM – 6:00 PM, 3–5 days/week (all days on-site).
- Occasional overtime required.
Work Environment & Physical Requirements:
- Primarily desk-based with computer use; light filing and lifting (files, supplies).
- May include local errands or attendance at offsite meetings.
