Job Title: Practice Assistant - Litigation (Hybrid)

Job Responsibilities:
- Communicate effectively and professionally with clients, lawyers, and co-workers through various mediums, including email, telephone, and in-person interactions. Handle routine client and staff inquiries and route calls appropriately. Arrange conference calls and greet clients.
- Create, draft, format, edit, proofread, and manage documents using Word, Excel, and PowerPoint. Draft routine business correspondence and documents under supervision.
- Schedule domestic and international travel arrangements, including flights, hotels, and car rentals, using the firm's travel system.
- Prepare, organize, and process reimbursements, invoices, and check requests promptly.
- Collect and prepare information for conflict checks, open new client matters, and draft necessary documents such as engagement and scope letters. Guide lawyers in completing and submitting forms properly.
- Learn and apply client-specific billing guidelines to ensure compliance and cost-effective practices.
- Manage mail, both paper and electronic, including prioritization, distribution, and coordination of mailings, deliveries, copying, scanning, and printing.
- Enter and manage work requests from lawyers in the firm's workflow tool, ensuring completion by deadlines.
- Perform routine electronic and paper filing in an organized manner for easy access. Handle photocopying, scanning, compiling, and distributing documents.
- Assist lawyers with time entry, billing, and collections as needed.
- Operate independently to ensure the accurate and timely completion of assignments, which may be complex or require high-level production.
- Perform clerical duties for non-legal departments as needed.
- Undertake special projects and duties as assigned.

Required Skills:
- Advanced knowledge of Microsoft Office Suite and Adobe.
- Experience with document management systems and electronic signature software.
- Proficiency in core legal administrative assistant functions and advanced technical and communication skills.
- Ability to thrive in a fast-paced environment with the capability to coordinate multiple tasks and demands.
- Superb attention to detail, grammar, and punctuation, with the ability to articulate thoughts and present ideas effectively.
- Ability to take direction and work independently with minimal supervision.
- Effective teamwork and professional interpersonal and communication skills.
- Strong writing and proofing skills.
- Strong work ethic with a commitment to maintaining confidentiality.
- General knowledge of litigation practices and procedures, including familiarity with court systems.
- Expertise with PACER and electronic filing in state and federal courts.
- Experience with docketing/calendaring of case events and deadlines.
- Knowledge of court procedures and resources for Local Rules of Court and Judge’s Standing Orders.
- Experience processing summonses, subpoenas, and discovery requests.
- Experience preparing legal documents and correspondence.
- Experience with Bates labeling, redacting documents, and scheduling court-related activities.
- Ability to lift and carry up to 30 pounds.

Education and Experience Information:
- Bachelor’s degree preferred.
- 4 to 5 years of experience supporting lawyers and paralegals with administrative or client-related tasks preferred.

Salary Information:
- The base salary range for this position is $39/hr - $58/hr. Actual compensation will depend on qualifications and experience.
