Job Responsibilities:
The Executive Assistant at the law firm is responsible for supporting the operations of the business. The role encompasses a variety of tasks aimed at ensuring smooth office management and efficient administrative functions. The key responsibilities include:
- Assisting with personnel hiring and training, ensuring that the recruitment and onboarding processes are effectively managed.
- Ordering supplies and equipment, and ensuring the proper operation and maintenance of all office equipment to support day-to-day activities.
- Coordinating office management issues to promote a well-organized work environment.
- Assembling information for weekly, quarterly, and year-end financial reviews and reports, providing valuable insights into the firm's financial standing.
- Managing accounts payable and receivables, ensuring that all financial transactions are accurately recorded and processed.
- Interfacing with accountants and insurance brokers to maintain financial and legal compliance.
- Maintaining orderly, up-to-date accounting and filing systems to ensure easy access and retrieval of information.
- Reviewing and processing payment of invoices to vendors and service providers.
- Managing and coordinating staff schedules, including vacation and paid time off, to ensure that administrative duties are always covered.
- Demonstrating proficiency with Microsoft Office, Google Sheets, and QuickBooks to perform various administrative tasks.
Education and Experience Information:
