Job Responsibilities
The Law Office File Clerk at the law firm is responsible for a variety of tasks that contribute to the smooth operation of a busy mid-size law firm. The primary duties include:
- Answering all incoming telephone calls on a multi-line system for all office locations.
- Greeting incoming guests with a warm and inviting welcome.
- Handling and following up on all vendor invoices.
- Creating carrier and client letter captions.
- Maintaining case lists.
- Adding new cases onto postage and fax tracking logs.
- Submitting postage and fax tracking logs at the end of each month to the billing department.
- Receiving all mail and deliveries and routing them accordingly.
- Adding postage to all outgoing mail using a postage meter.
- Assisting with FedEx, UPS, and other mailings.
- Maintaining the postage meter and all mailing supplies.
- Managing the scheduling of conference rooms.
- Notifying appropriate parties of guest arrivals.
- Assisting with firm catering needs.
- Performing other general office and clerical duties as assigned.
Education and Experience Information
Candidates for the Law Office File Clerk position must possess basic computer knowledge and effective verbal and written communication skills. Attention to detail, the ability to multitask and prioritize tasks, and the ability to work effectively in a team structure are essential. The candidate should be personable, positive, upbeat, punctual, and possess a "can-do" attitude. Additionally, candidates must be able to sit for extended periods and lift large bundles of mail, packages, and boxes for filing.
Prior experience in a law firm is preferred, although not explicitly required.
Salary Information
The position offers an hourly wage ranging from $16 to $18. The role is full-time and includes benefits such as vision, medical, dental, paid time off, life insurance, and retirement options.
