Job Title: Litigation Legal Assistant
Job Responsibilities:
- Provide administrative support to attorneys and paralegals with a focus on client service.
- Greet guests, handle work requests, schedule meetings, and conduct telephone conferences with outstanding client service orientation.
- Offer proactive administrative support specifically for litigation attorneys and paralegals, with the flexibility to assist in other practice areas as needed.
- Exhibit strong attention to detail and maintain strict confidentiality of all matters and information.
- Respond to requests with urgency, effectively prioritizing work.
- Interact professionally with court personnel, attorneys, and staff to obtain and provide data, answer questions, and resolve problems.
- Prepare and review letters and memoranda according to law firm standards using word processing and document management systems.
- Proactively monitor deadlines and process requests for payment and reimbursements.
- Create, maintain, and retire files in accordance with the law firm's Information Governance Policy.
- Assist in managing client contacts, emails, and print documents, as well as processing mail.
- Communicate clearly and concisely in a professional manner.
- Transcribe dictation and file documents with courts electronically.
- Draft documents and filings.
Knowledge, Skills, and Abilities:
- Proficiency in Microsoft Office programs is required.
- Strongly preferred proficiency with Kofax/Nuance, InTapp, LMS+, iManage, Bighand, or similar software programs.
- Knowledge of the litigation process and general court operations.
- Ability to read and identify pleadings and other documents related to litigation matters.
- Effective communication skills and the ability to follow instructions from diverse individuals, providing information with courtesy and tact in person, over the phone, and in writing.
- Reasoning skills and common sense understanding to resolve problems and carry out instructions furnished verbally or in writing.
- Basic arithmetic skills to calculate dates.
- High level of competency to perform essential duties and the ability to occasionally work more than 40 hours per week.
Education and Experience:
- A minimum of 3 years of litigation legal assisting experience in a law firm or other legal setting.
- Education beyond high school or coursework related to the legal industry is preferred.
- Ability to read, understand, and interpret complex documents such as pleadings and other documents related to litigation matters.
