Associate Legal Assistant
Job Responsibilities:
The Associate Legal Assistant is tasked with performing mid-level legal assistant and administrative duties for a Staff Counsel Office. The primary responsibilities include:
- Developing a working knowledge of legal concepts, practices, and Staff Counsel procedures applicable by jurisdiction.
- Drafting and revising routine legal documents, including pleadings, motions, notices, jury demands, and routine discovery.
- Handling multiple administrative and legal tasks to support attorneys.
- Participating in the preparation of pleadings, routine motions, notices, jury demands, and routine discovery.
- Reviewing invoices and preparing/sending checks.
- Providing training and onboarding support for Staff Counsel Support Staff.
- Maintaining relationships with attorneys, outside departments, courts, clients, and third parties.
- Managing and monitoring court filings and suits via mail, in-person, or e-filing.
- Maintaining attorney and office calendars by scheduling, rescheduling, confirming, and/or canceling appointments, including depositions, EUOs, trials, conferences, and hearings.
- Assisting in the discovery process, including gathering and compiling medical records and discovery documents, preparing draft discovery responses, and coordinating their completion and signature by clients for filing and scheduling IMEs.
- Communicating with clients, claims personnel, adversaries, and tribunals as needed, and referring complex inquiries to the appropriate Attorney for handling.
Education and Experience Information:
- The position requires a minimum of 2 years’ experience as a legal secretary, paralegal, or legal assistant handling personal injury litigation matters.
- Based on jurisdiction, the candidate may need to obtain and maintain a notary license.
- Experience in preparing, under supervision, routine pleadings, motions, petitions, prehearing and arbitration statements, admissions, notices, jury demands, routine discovery, expert disclosures, and correspondence of a non-dictated nature, within the case management system, for attorney review and signature.
- Experience in handling the management and monitoring of court filings and suits via mail, in-person, or e-filing.
- Knowledge and experience in maintaining attorney and office calendars by scheduling, rescheduling, confirming, and/or canceling appointments.
- Experience in reviewing invoices to ensure compliance with the Company's Expense Policy and handling them in accordance with established procedures.
- Experience in assisting in the discovery process, including gathering and compiling medical records and discovery documents.
