Hearing Coordinator (Full-Service Paralegal)
Job Responsibilities
As a Hearing Coordinator at the law firm, you will play a key role in overseeing one of the three critical touchpoints in the life cycle of a Full-Service Case. The primary responsibilities include managing legal events effectively. Specific duties involve:
- Monitoring upcoming hearings that require appearances and ensuring all necessary preparations are in place.
- Requesting appearance instructions from attorneys to ensure clarity and preparedness for hearings.
- Seeking settlement updates from partner companies to stay informed on case progress and potential resolutions.
- Escalating appearance issues to Case Managers when necessary to ensure timely intervention and resolution.
- Following up with network attorneys as needed in the event of missing information to maintain case progress.
- Communicating appearance results to all involved parties to ensure transparency and coordination.
- Recording all hearing data and invoice details in the CRM for accurate tracking and documentation.
- Maintaining comprehensive communication records in the case file to ensure a complete and accurate history of interactions.
Education and Experience Information
Required:
- A paralegal certification, similar legal services degree, or at least 2 years of paralegal experience.
- Demonstrated proactivity in finding solutions and the ability to discern when supervisory input is necessary.
- A proven pattern of meeting or exceeding minimum productivity requirements.
- Experience in drafting and reviewing legal documents, demonstrating ownership of work, and maintaining excellent quality standards.
- Strong verbal and written communication skills, with the ability to convey information effectively.
- Ability to apply common sense understanding to follow instructions provided in various formats, including written, oral, or diagram form.
- Proficiency in Microsoft Word and Outlook, along with a general knowledge of Microsoft Windows and Excel.
Preferred:
- Experience with e-filing in multiple jurisdictions, which demonstrates familiarity with diverse legal processes.
- A minimum of 2 years of experience in legal case management, with comprehensive experience in working cases through the complete case file.
- Familiarity with navigating court websites and conducting court records searches to obtain necessary legal information.
- Comfort with ambiguity and evolving practices, indicating adaptability in a dynamic work environment.
- Familiarity with reading court documents and drafting documents for court submissions.
- Experience working with a high volume of documents daily while maintaining digital organization.
- Ability to work independently as well as collaboratively within a team, and manage multiple time-sensitive projects.
- Familiarity with case management software and the ability to navigate multiple screens efficiently.
- Proficiency in effectively presenting information in one-on-one and group situations to attorneys, courts, and other employees of the organization.
Salary Information
This is a full-time, non-exempt role with a schedule from Monday through Friday, 9:00 AM to 5:30 PM EST. The pay cycle is weekly, with an hourly pay rate of per hour. For candidates who are Spanish bilingual (read, write, speak), the hourly rate is per hour.
