Job Title: Chesapeake Real Estate Assistant
Job Responsibilities:
- Assist supervising attorneys with the preparation, closing, and disbursement of both residential and commercial real estate transactions.
- Prepare essential documents such as Closing Disclosures, Settlement Statements, and loan packages.
- Manage and coordinate real estate transactions from contract to closing and disbursement under attorney supervision.
- Interact with clients, real estate agents, and others via telephone, email, and in person.
- Operate standard office equipment including personal computer, copier, scanner, and telephone.
- Review, sort, and date stamp incoming mail.
- Arrange and schedule client appointments using KCI Reservation.
- Assist in preparing for and setting up office meetings.
- Maintain conference rooms, kitchen areas, and supply areas.
- Assist in light typing, filing, and making copies for attorneys.
- Perform a variety of other administrative tasks as assigned.
- Contribute to general office support by performing various administrative and related tasks.
- Answer incoming calls and direct them to the appropriate personnel.
- Monitor supply inventory and ensure adequate stocking.
- Process outgoing mail and sort interoffice and incoming postal mail.
- Open new files and greet and assist clients.
- Maintain positive contact with attorneys, support staff, and clients while observing the confidentiality of client and firm matters.
Education and Experience Information:
- Legal or Real Estate closing industry experience preferred.
- High school diploma or equivalent required.
- Previous client/customer service experience is a plus.
- Exceptional written and oral communication skills are essential.
- Excellent organizational skills with a strong ability to multi-task and attention to detail.
- Demonstrate a proactive approach to problem-solving with strong decision-making capability.
- Operational knowledge of standard office equipment including copier, scanner, and telephone.
- Proficiency in Microsoft Office, Soft Pro, and Outlook.
- Friendly disposition with a desire to be a team player.
- Ability to routinely lift, carry, push, pull, and slide materials weighing up to 25 lbs.
