Legal Project Coordinator

Job Responsibilities
- Collaborate with attorneys, paralegals, and staff across all offices to manage high-volume matters and meet client service expectations.
- Manage and track both formal and informal project deadlines with attorneys, paralegals, and staff.
- Review contracts to ensure proper dating and execution by all parties.
- Calendar deadlines related to contract terminations and renewals.
- Establish clear ownership for ongoing follow-up with clients to meet project deadlines.
- Organize and file document drafts and contracts into the document management system.
- Use software like Workshare Compare to analyze documents from opposing parties to support attorneys’ workload.
- Collaborate with attorneys, paralegals, and staff to establish and communicate project timelines to clients; negotiate alternative timelines with clients as necessary.
- Oversee and maintain the upkeep of matter management sites.
- Handle miscellaneous tasks such as drafting client-facing documents for estimated attorneys’ fees, tracking billing fees, and maintaining the mailing list.

Education and Experience Information
- High School Diploma is required.
- A bachelor’s degree is preferred.
- At least 2 years of experience in an office setting, preferably in a legal or professional services firm.

Skills
- Broad computer knowledge and proficiency with Windows Operating System, Word Processing, Spreadsheets (Excel), Internet browsers (Chrome and Firefox), iManage or related document management systems, and Asana or other project management software.
- Prior experience with corporate, commercial, and other transactional matters is preferred.
- Ability to effectively present information and respond to questions from attorneys, paralegals, clients, and other staff.
- Ability to prioritize workload and anticipate projects.
- Highly organized and committed to excellent client service.
- Ability to establish effective working relationships and maintain an upbeat, team-oriented personality.
- Commitment to observing attorney-client confidentiality.
- Ability to manage a high volume of email traffic from at least 10 attorneys.

Salary Information
- The salary range for this position is $50,000-$70,000 annually.
- Actual pay may vary depending on the candidate’s education, training, experience, and other job-related factors permitted by law.
- The actual salary may also vary depending on the office location.
