Job Responsibilities:
The Rate Specialist is tasked with the critical role of analyzing and managing client and matter rates to ensure compliance with agreed fee engagements, outside counsel guidelines, and specific matter budgets. This role involves close collaboration with the Billing and Financial Analysis teams to guarantee that rate information is accurately implemented in both internal financial systems and external e-billing sites. The position demands proficiency in data management and effective communication with various stakeholders within the law firm.
Key responsibilities include:
- Managing timekeeper rates in financial systems and client e-billing systems.
- Assisting with the implementation and maintenance of client rate and fee arrangements.
- Uploading rates into e-billing systems and updating departmental documentation as necessary.
- Analyzing client guidelines to establish agreed rates and cost exceptions.
- Troubleshooting client and timekeeper rate calculation issues.
- Responding promptly and accurately to all requests for rate requests, reports, and rate inquiries.
- Aiding in the annual rate renewal process by reviewing current fee arrangements and ensuring that new arrangements are obtained, approved, and updated.
- Assisting with pricing proposals.
- Handling special projects and ad hoc requests from management.
Education and Experience Information:
Candidates for the Rate Specialist position are required to have a minimum of 3-5 years of experience in legal billing, with prior experience in rates administration and maintenance. The role demands strong organizational skills, with the ability to organize and prioritize numerous tasks and complete them in a timely manner, even under strict time constraints. A high level of technical competency on various job-related computer packages is essential, including experience with Aderant billing software and advanced Excel skills.
Strong written communication skills are also necessary, as the candidate must be able to proofread material for grammatical, typographical, and spelling errors.
