Job Title: Project Coordinator
Job Responsibilities:
The Project Coordinator at the law firm plays a pivotal role in project management and operational support within the Legal Administrative team. Key responsibilities include:
- Project Management: The Project Coordinator is tasked with coordinating projects through all phases, ensuring timely execution of short and long-term projects for the Law Firm President. This includes developing detailed project plans, timelines, and budgets to ensure initiatives are delivered on time and within scope. Regular status updates, reports, and presentations are prepared to maintain transparency and progress toward goals.
- Administration and Meeting Facilitation: This role involves managing logistics and administrative tasks for the company President, organizing and maintaining information for easy access, coordinating across multiple teams and departments to ensure effective communication, and scheduling activities related to the President’s function.
- Stakeholder Communication and Inclusion: Effective communication with various teams, including HR and Legal, is crucial to ensure alignment and buy-in for successful project execution. The Project Coordinator works closely with internal teams to integrate applicable protocols into broader organizational processes.
- Technical: The role requires managing data and reporting routines to collect, analyze, and organize data related to projects and key indicators. The Project Coordinator ensures organization and accessibility of project-related documents online and leverages tools like Asana and Excel for dashboard updates and tracking delays/issues. The candidate should be able to get up to speed on legal-specific software as needed.
- Other Duties: The Project Coordinator performs other duties as assigned, supporting the firm’s operations and technology expansion.
Education and Experience Information:
- An Associate’s or Bachelor’s degree, or an equivalent combination of training, is required.
- 2-3 years of experience in project management, policy development, or a related field is necessary.
- Bi-lingual proficiency in Spanish and English is a must.
- A track record of success in managing and executing projects, including developing project plans, timelines, and budgets, is essential.
- Excellent communication skills, both written and verbal, are required to engage and collaborate with diverse teams.
- The candidate should be a strategic thinker with a passion for documentation of protocols and procedures.
- Strong organizational and time-management skills are necessary, with the ability to manage multiple projects simultaneously.
- Ability to work independently, prioritize tasks, and problem-solve in a dynamic environment is crucial.
- Strong computer skills and knowledge of Google Suite and relevant software, including Asana, Adobe Photoshop, Illustrator, InDesign, Excel, Word, PowerPoint, and Outlook, are essential.
- Proficiency in formatting documents and presentations is required.
- The candidate must be highly organized and comfortable with ambiguity.
- Ability to work both independently and collaboratively in a fast-paced and frequently changing environment is important.
- Exceptional problem assessment and problem-solving skills are necessary.
- Excellent attention to detail and accuracy is a must.
- A Project Management Certification and prior legal experience are considered a plus.
Salary Information:
The estimated salary range for the Project Coordinator position is $65,000 USD to $90,000 USD. Actual salary may vary depending on job-related factors, including knowledge, skills, experience, and location. In addition to a competitive base salary, the law firm offers a comprehensive benefits package, including health, dental, and vision insurance, uncapped paid time off, parental leave, and a 401(k).
